Position Overview:
Allen Outdoor Solutions, a leading landscaping, irrigation, lighting, and lawn maintenance company, is seeking a dedicated candidate to join our team. This position will play a crucial role in ensuring the smooth operation of our landscape department, assisting our customers, supporting our field workers, working with landscape manager to type up contracts and invoicing to customers.
Key Responsibilities:
Answering phones: Professionally and courteously handle incoming calls, directing inquiries to the appropriate department and or assisting customers and resolving customer questions and needs.
Scheduling Appointments:
Coordinate and manage appointment schedules for clients and field staff, ensuring timely and efficient service delivery. This role involves a key focus on scheduling to optimize our operations.
Lead Sheet Management:
Accurately record and maintain lead sheets, including client information, inquiries, and follow-up actions.
Assisting production:
Provide administrative support to our field staff, including preparing work orders, organizing equipment, and ensuring they have necessary resources for successful job completion.
Office Assistance:
Collaborate with other team members to assist with general office tasks, including data entry, filing and cross training.
Qualifications:
Proven experience in administrative roles, preferably in a similar industry Excellent communication and customer service skills Proficient in office software and scheduling tools Strong organizational and multitasking abilities Attention to detail and accuracy Ability to work independently and as part of a team
