Job Description

Position Summary AdvR designs and manufactures advanced electro-optic and non-linear photonics components for high-performance commercial and government applications. We are seeking a talented Operations Coordinator who will support shipping and day-to-day business operations. This is a growth-opportunity role that will help ensure products are delivered accurately and on time while maintaining smooth office operations. The Operations Assistant supports day-to-day business operations including final product quality checks, packaging and shipping, facilities coordination, and general administrative support. This role helps ensure products are delivered accurately and on time while supporting efficient office and operational workflows. The ideal candidate is organized, detail-oriented, and comfortable working in both an office and light production environment. The detailed role and responsibilities are provided below. Key Responsibilities Operations & Shipping Perform final QA (quality assurance) checks on outgoing products in accordance with established procedures Package and prepare products for shipment to ensure safe and compliant delivery Generate shipping labels and coordinate outbound shipments (FedEx, UPS, etc.) Track shipments and proactively communicate updates to internal teams Resolve shipping issues including delays, missing items, or delivery discrepancies Coordinate with customs brokers and relevant authorities to facilitate international shipments and customs clearance Maintain timely and accurate shipping records and documentation Assist with inventory tracking, material organization, and stockroom coordination Partner with production and engineering teams to ensure shipment readiness and accuracy Identify opportunities to improve operational efficiency and support implementation of improved processes Quality & Documentation Execute established QA checklists and inspection procedures Maintain QA records and ensure proper documentation of outgoing products Identify, document, and escalate quality issues, as needed Facilities & Administrative Support Coordinate facility maintenance, service requests, and customer visits Schedule equipment maintenance and calibration services Manage ordering and stocking of office, lab, and shipping supplies Support scheduling, calendar coordination, and meeting logistics Maintain organization of shared office and operational spaces Provide front office support, including greeting visitors, handling incoming calls, and coordinating deliveries Coordinate planning and setup of company events (e.g. catered lunches, team gatherings) Perform general administrative and operational tasks, as needed Required Qualifications Strong attention to detail Organized and dependable Excellent communication and interpersonal skills to work with diverse teams Ability to effectively manage several tasks without compromising quality or productivity Comfortable working in both office and light production environments Proficiency using Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) Ability to lift up to ~25lbs occasionally (shipping boxes, materials) Valid driver's license and access to reliable transportation to perform local business-related errands during the workday Preferred Qualifications Experience in shipping, logistics, or manufacturing environments Experience with ERP or order management systems Experience with facilities management Benefits AdvR offers flexible schedules and competitive benefits including medical, dental, vision insurance, and retirement accounts.
