The Operations Associate is responsible for assimilating and interpreting information, data collection, data entry and workflow processing to ensure client deliverables are met daily. The primary focus is ensuring our systems have the most accurate and complete information to support our clients and end shareholders. The Operations Associate must also interact with clients to ensure seamless delivery and inquiries are actioned urgently and effectively. Duties and Responsibilities of theOperations Associate:
Manage day‑to‑day processing activities, including Collections Communications, Proxy Team support functions, and disclosure file workflows. Communicate with clarity and confidence, consistently delivering accurate and well‑supported information. Actively contribute to team meetings by sharing insights, updates, and opportunities for improvement. Provide flexible support on ad‑hoc tasks, assignments, and special initiatives as needed. Collaborate effectively as part of a high‑performing team to maintain a smooth, efficient workflow. Proactively identify challenges or process gaps, recommending and implementing best practices to enhance accuracy and performance. Apply regulatory requirements to daily responsibilities, ensuring compliance across all tasks. Complete all assignments in alignment with company guidelines, standards, and regulatory policies. Recognize and escalate potential issues promptly to minimize risk and maintain operational integrity. Build strong working relationships and partner with internal and external stakeholders to achieve shared goals. Adapt workflow and output based on changing priorities and fluctuations in workload. Skills and Experience of theOperations Associate:
3+ years of relevant experience, preferably within the financial services industry Familiarity with financial industry concepts, with the ability to apply foundational knowledge as needed. Proficient with Microsoft Office applications, including Excel, Word, Outlook, Teams, and Visio. Experience with SQL preferred. Proven research, analytical, and critical‑thinking abilities. Exceptional attention to detail and commitment to accuracy. High proficiency in Excel, with the ability to organize, analyze, and interpret data efficiently. Ability to manage multiple tasks and projects simultaneously while meeting deadlines. Solid organizational and time‑management skills. Effective written and verbal communication skills, including the ability to collaborate with both internal and external stakeholders. Consistent focus and accuracy when executing repetitive or process‑driven tasks. Willingness and ability to work flexible hours and extended schedules when required. Team‑oriented mindset, contributing positively within the immediate team and across the organization. Solid visual inspection skills to identify errors, inconsistencies, or anomalies. Adaptable and able to adjust quickly to changing business needs and priorities. Office Environment working 40 hours week. Must be able to work overtime and weekends when needed.
