Job Description

Job Overview We are seeking a highly organized and detail-oriented Surgery Scheduler to join our healthcare team. The ideal candidate will be responsible for coordinating surgical appointments, managing patient schedules, and ensuring seamless communication between patients, physicians, and surgical teams. This role requires proficiency in electronic health record (EHR) systems, medical coding, and excellent administrative skills to support efficient clinic operations and maintain compliance with healthcare regulations such as HIPAA. Experience with medical billing, insurance verification, and clinic management is preferred to ensure accurate documentation and optimal patient care coordination. Responsibilities Schedule surgeries and procedures accurately within the EHR systems such as NextGen, Meditech, Athenahealth, eClinicalWorks, Dentrix, Eaglesoft, and other EMR platforms Verify insurance coverage and perform insurance authorization and verification processes Review medical documentation, care plans, and patient records to ensure completeness prior to scheduling Communicate effectively with patients regarding appointment details via phone or electronic communication while maintaining professional phone etiquette Coordinate with physicians, surgical teams, and administrative staff to confirm scheduling details and prepare necessary documentation Manage multi-line phone systems for appointment scheduling and patient inquiries Maintain accurate records of CPT codes, ICD-9/10 codes, ICD coding, and other medical billing information in compliance with Medicare and other payer requirements Ensure compliance with HIPAA regulations by safeguarding patient information during all interactions Assist with administrative tasks such as filing, data entry (including 10 key typing), and documentation review to support clinic operations Support front desk activities including patient check-in/out processes and appointment confirmations Qualifications Proven experience in medical office administration or clinic scheduling; dental or hospital experience is a plus Familiarity with EMR/EHR systems including NextGen or similar platforms Knowledge of medical terminology, CPT coding, ICD-9/10 coding, ICD coding for accurate documentation and billing Strong understanding of HIPAA regulations and health information management practices Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) Exceptional organizational skills with the ability to manage multiple priorities efficiently Bilingual abilities are preferred to serve diverse patient populations effectively Prior experience in medical billing or insurance verification is advantageous Strong communication skills with professional phone etiquette and customer service orientation Office experience in a clinical setting or medical receptionist role is highly desirable This Surgery Scheduler position offers an opportunity to contribute significantly to our healthcare team by ensuring smooth surgical scheduling processes while providing excellent patient service.
