About Boys & Girls Clubs of the
Red River Valley Our Mission:
To provide a safe, caring, and fun environment, for youth to learn, grow, and prepare for a great future The Boys & Girls Clubs of the Red River Valley provides before-and after-school, all-day, and summer youth development programming to youth aged 5 to 17 years old in grades K through 12. We provide youth a safe place to learn and grow, ongoing relationships with caring mentors, life enhancing programs, character development, hope, and opportunity.
What We Do:
The Scheduling Coordinator is responsible for supporting the financial and administrative functions of the Boys & Girls Clubs of the Red River Valley. This role involves managing essential tasks such as assisting with family schedules, ensuring accurate and timely reporting, and excellent customer service. This position plays a vital role in fostering collaborative relationships with internal staff and external partners to support the organization's financial health and operational success.
Primary Responsibilities & Activities:
Demonstrate the highest standards of individual conduct, personal accountability, integrity, trustworthiness, confidentiality, fair dealings, considerations of the rights of others, and the highest principles of good business relationships. Exhibit initiative and work independently with minimal supervision, upholding the principles of good business relationships. Foster collaborative working relationships with Club staff and provide support as needed. Coordinate the youth schedules for all Boys & Girls Clubs program sites. Collaborate with the Scheduling & Registration and Program Departments on key functions, including maintaining and updating family accounts. Assist with office services such as the maintenance of children's records to support efficient administration. Ability to plan and prioritize tasks effectively to meet deadlines and organizational needs. Use strong record-keeping skills to maintain accurate and efficient documentation and filing systems. Develop familiarity with Boys & Girls Clubs programs and services, as well as any laws and regulations affecting the organization's work, ensuring compliance. Prepare and organize reports, memos, letters, and responses to routine inquiries, ensuring professionalism and compliance with company procedures. Possess current knowledge of computers and business software, including databases, spreadsheets, and word processing applications. Prepare documents and reports using the Microsoft Suite word processing, spreadsheets, databases, and/or presentation software. Develop the ability to learn and utilize various computer software tools relevant to business purposes, maintaining proficiency to support office and administrative functions. Ensure effective and efficient handling of digital documentation, data tracking, and reporting systems.
Position Requirements:
A degree from a post-secondary education institution is preferred. High attention to detail and excellent customer service is required. Knowledge of Boys & Girls Club operations is desirable. Proficiency in current software platforms School Care Works and Vision, and/or ability to quickly learn and effectively use these and additional software programs. Fluency in the Microsoft Office Suite of software including Outlook, Work, Excel, PowerPoint, and others. Effective communication, ensuring clarity and conciseness in both written and verbal interactions.
Physical & Mental Requirements:
Ability to perform work in an office setting as well as in a highly interactive and emotionally and physically stimulating environment. Required to stand, walk, and sit. Able to use hands and fingers on a (computer) keyboard and other office equipment. Occasionally lift and/or move up to 25 pounds. Travel between club sites may be required. Must have a reliable and accessible mode of transportation to commute occasionally between club sites.
