Company description Cynos Express LLC is a multicultural startup building a portfolio of consumer brands across major e-commerce channels. We develop and market products that enrich everyday life — from food and wellness to home and lifestyle. Our team is small, diverse, and hands-on. We are looking for someone who can step in and help us stay organized, accountable, and on track every single day. Role description This role exists for one core reason: to make sure the team is doing what they are supposed to do, when they are supposed to do it — without leadership having to follow up on every detail. You will work directly alongside our small warehouse and operations team on a daily basis — assigning tasks, tracking progress, following up, and holding people accountable. You are the person who notices when something is falling behind and does something about it before it becomes a problem. In addition to people management, you will handle administrative and operational tasks including document management, hiring coordination, staff scheduling, and occasional communication with vendors and logistics partners. We are a growing startup that is still building our internal systems and processes. This role is not just about following existing procedures — it is about helping us create them alongside leadership. The right candidate is someone who is energized by building something from the ground up. Key responsibilities People & performance Oversee day-to-day work of a small, diverse team across warehouse, fulfillment, and design functions Assign daily tasks and ensure each team member knows exactly what they are responsible for Track individual performance and follow up consistently — no task falls through the cracks Proactively identify when someone is falling behind and address it directly Maintain daily task management system for all staff Manage staff schedules, attendance, and time-off requests Provide daily operational summary reports to leadership Support onboarding and training of new hires Hiring & HR coordination Post job openings on Indeed, LinkedIn, and other platforms as directed Screen applicants and coordinate interview scheduling with leadership Maintain organized employee records and documentation Track and manage time-off, attendance, and schedule changes across all staff Administrative & compliance Prepare, organize, and maintain business documents and company records Assist with compliance documentation required by e-commerce platforms Coordinate business filings, insurance records, and renewals as directed Assist with trademark coordination, registrations, and related filings Maintain organized filing systems for all operational and administrative documents Logistics & communications Communicate with logistics partners and vendors to resolve day-to-day issues Follow up on outstanding items with vendors, carriers, and service providers Handle general business correspondence on behalf of leadership as needed Who we are looking for You are someone who naturally takes ownership. You are comfortable being direct with people — reminding them of deadlines, following up when things are late, and holding the team to a standard without being asked to. You are highly organized and detail-oriented. You can manage multiple moving parts at once and keep things from falling through the cracks. Qualifications Required 3-5 years of experience in operations, office management, team coordination, or a related role Strong written and verbal communication skills in English — required Proven ability to supervise, follow up with, and hold a team accountable on a daily basis Highly organized with strong attention to detail and consistent follow-through Proficient in Google Workspace (Sheets, Docs, Gmail) and task management tools Able to manage multiple responsibilities simultaneously in a fast-paced environment Comfortable working in a small business or startup environment Must be authorized to work in the United States Preferred Experience in e-commerce, warehouse, or consumer goods operations Familiarity with e-commerce platforms Experience with HR coordination, hiring, or scheduling Familiarity with business compliance documents, logistics, or vendor communication Bilingual — is a strong plus
