Job Summary:
As the Operations Coordinator , you will support the daily operations of PB Roofing. This role plays a critical part in coordinating projects, supporting field crews, managing schedules, and ensuring effective communication between the office, vendors, and job sites. The ideal candidate thrives in a fast-paced work environment and demonstrates exceptional organizational and time-management skills. This position requires a high level of attention to detail, thoroughness, and a strong commitment to follow-through and follow-up, along with the ability to lead with a proactive, problem-solving mindset

What You'll Do/Essential Functions:
Coordinate daily and weekly schedules for roofing crews, supervisors, and subcontractors •Monitor and track the overall progress of vendors and suppliers Support project managers with job setup, documentation, and tracking project progress Serve as a liaison between field teams, client experience and other departments, vendors, and customers Help with tracking materials, deliveries, and equipment to ensure job site readiness Maintain accurate job files, permits, contracts, and compliance documentation Assist with work orders, change orders, and closeout documentation Monitor project timelines and help resolve scheduling or logistical conflicts Support safety compliance and ensure required documentation is completed Handle administrative tasks such as data entry, reporting, and invoice coordination Company Fleet management and administrative scheduling Assist with customer communication related to scheduling and project updates Perform general administrative tasks and other duties as assigned by President of PB Roofing.
Educational Requirements & Experience:
2+ years of experience in Construction, Commercial Roofing Industry, or operations coordination preferred High school diploma or equivalent (Associate's or Bachelor's degree preferred) Computer literate and proficient in Microsoft Office, specifically Outlook, Word, and Excel with the ability to adapt and utilize various project management programs and customer portals Proficient in Microsoft Excel, including the use of VLOOKUP functions and PivotTables for data analysis and reporting. Prior experience in a service coordination, dispatcher, work order management, or operations support role preferred Demonstrated ability to manage high volumes of concurrent tasks and work orders without dropping the ball Comfort working across multiple software platforms and client portals simultaneously - you learn new tools quickly Strong written and verbal communication skills; professional and responsive at all times Availability and willingness to participate in on-call rotation, including evenings and weekends Ability to work independently and make confident decisions in time-sensitive situations High attention to detail and accuracy, especially when updating and managing data across systems PB Roofing Core Values Coachable We are open and eager to continually learn, improve, and grow in our roles.
