Role:
The Procedure Scheduler plays a critical role in the healthcare delivery process by efficiently coordinating and scheduling medical procedures for patients within a healthcare facility. This position ensures that all procedural appointments are accurately booked, taking into account patient needs, physician availability, and resource allocation to optimize operational flow. The Procedure Scheduler acts as a liaison between patients, healthcare providers, and administrative staff to facilitate clear communication and timely scheduling. By managing appointment logistics and maintaining detailed records, this role directly contributes to enhancing patient satisfaction and supporting clinical teams in delivering high-quality care. Ultimately, the Procedure Scheduler helps to streamline procedural workflows, reduce wait times, and improve overall healthcare service efficiency. We are excited to announce that we are looking for a Full Time, Procedure Scheduler at Hamilton Gastroenterology Group in Hamilton, NJ.
Responsibilities:
Coordinate and schedule medical procedures by communicating with patients, physicians, and clinical staff to confirm availability and requirements. Verify patient information, insurance coverage, and pre-authorization status to ensure compliance with healthcare policies and reduce scheduling errors. Maintain accurate and up-to-date scheduling records in electronic health record (EHR) systems and other scheduling software. Manage appointment changes, cancellations, and rescheduling promptly while minimizing disruptions to clinical operations. Provide patients with clear instructions regarding their procedures, including preparation guidelines and arrival times. Collaborate with multiple departments such as radiology, surgery, and outpatient services to optimize resource utilization and appointment flow. Address patient inquiries and resolve scheduling conflicts with professionalism and empathy. Monitor daily schedules to identify and resolve potential bottlenecks or overbooking issues.

The Procedure Scheduler utilizes strong organizational and multitasking skills daily to manage complex appointment calendars and ensure efficient use of clinical resources. Minimum Qualifications:
High school diploma or equivalent required; associate degree or higher preferred. Previous experience in medical scheduling, healthcare administration, or a related field. Familiarity with electronic health record (EHR) systems and medical scheduling software. Strong organizational skills with the ability to manage multiple tasks simultaneously. Excellent communication skills, both verbal and written, to interact effectively with patients and healthcare professionals.
Preferred Qualifications:
Certification in medical office administration or healthcare scheduling (e.g., Certified Medical Administrative Assistant). Experience working in a hospital or outpatient clinical setting. Knowledge of medical terminology and healthcare insurance processes. Proficiency with advanced scheduling platforms and Microsoft Office Suite. Demonstrated ability to handle sensitive patient information with confidentiality and professionalism.
