Job Description

Position Summary:
Rutgers, The State University of New Jersey is seeking a Grants Operations Specialist for the School of Nursing. The Grants Operations Specialist serves as a primary point of contact for faculty, staff, and students engaged in the preparation and submission of grant proposals on the pre-award side. Reporting directly to the Director of Grants and Sponsored Research, this role provides comprehensive administrative, operational, and compliance support to ensure proposals meet sponsor requirements and adhere to Rutgers' internal policies and approval processes. Among the key duties of this position are the following: Advises project leaders on sponsor technical guidelines, regulatory and compliance requirements, and institutional submission procedures. Prepares detailed summaries of application components and developing internal timelines to coordinate the timely collection and submission of required materials. Prepares and reviews proposal budgets. Facilitates communication with collaborating Rutgers units and external partners. Secures institutional approvals through the Rutgers Proposal Administration and Submission System (RAPSS). Compiles and submits applications using RAPSS, grants.gov, and other sponsor submission portals. Provides administrative support for grant-related programs and initiatives as assigned and, as needed, assisting with select post-award administrative tasks to ensure continuity and compliance across the grant lifecycle.
Minimum Education and Experience:
Bachelor's degree in business, public administration, law, library studies, science, or a related field, plus a minimum of two (2) years of progressively responsible experience in grant administration or an equivalent combination of education, training, and experience may be considered in lieu of the stated degree requirement.

Excellent skills in MS Excel, MS WORD, grants.gov and other submission systems, and search engines. Will be required to learn and efficiently use the Research Administration and Proposal Submission System (RAPSS) and the Rutgers chart of accounts.
Physical Demands and Work Environment:
This position requires standing and walking less than 1/3 of the time, requires sitting at least 2/3 of the time, and requires talking or hearing 1/2 of the time.
