Job Description

Vendor Scheduler Reports To:
Director of Operations Who we are: AXion Logistics is a 3rd Party Logistics (3PL) provider with a focus on the petrochemical industry. We have worked to develop strong relationships with the Petrochemical Industry and the supporting Engineering, Procurement & Construction (EPC) companies; Integrated Material Suppliers; and General Mechanical providers. AXion has proven, effective processes and technologies. We have the experience and understanding required to efficiently manage routine Maintenance, Repair, and Operating (MRO) materials, order spares, manage inbound delivery and receipt, provide preservation and maintenance services, and the dispositioning of surplus or obsolete material and equipment. Position Purpose The AXion Vendor Scheduler develops and executes sourcing strategies to optimize buying power and reduce overall third-party spending, while simultaneously planning and scheduling the availability of critical components to support operational continuity. This role works closely with procurement personnel, third-party suppliers, maintenance planners, and operations teams to integrate cost savings targets with precise component scheduling — ensuring the right materials are in the right place at the right time. Duties & Responsibilities Develop and maintain component scheduling plans aligned with outage, and maintenance event timelines in a fast-paced environment Coordinate with maintenance planners and operations teams to forecast component demand and establish reorder points Monitor component lead times and proactively communicate schedule risks to stakeholders Manage component availability windows to prevent production delays or unplanned downtime Maintain accurate scheduling data in company's system and other planning tools; generate reports on component status and schedule adherence Align component delivery schedules with work order timelines and field execution plans Identify and resolve scheduling conflicts, expediting critical components as needed Support kitting and staging activities to ensure components are ready for scheduled work Process material and service requests on a daily basis Create, organize, and issue purchase orders for approval in company's system Identify qualified suppliers for RFQ solicitations regarding long lead material Coordinate and negotiate with suppliers to support business stakeholder delivery dates and lead times Track on-time delivery of materials Troubleshoot issues with Purchase Orders, vendor outline agreements, Open PO report / Parked and Blocked Report management Expedite functions (vendor communications) Materials Management and UWL action items Resolve material discrepancies (returns, shorts, miss-orders, vendor errors) Purchase order creation (issuing non-auto purchase orders) Qualifications The ideal candidate will possess: 5+ years of experience with in-depth knowledge of stock transfers, gains/losses, material movements, and scheduling modules (MM/PM preferred) Demonstrated ability to develop and manage component schedules in a fast-paced industrial environment Working knowledge of Microsoft Office Suite with an emphasis on Excel (scheduling templates, pivot tables, tracking dashboards) Previous experience processing goods movements related to bulk chemicals preferred but not required Understanding of chemical/manufacturing equipment, small tools, and consumables Capable of supporting and managing challenging stakeholders across procurement, operations, and maintenance Strong ability and proven track record of supporting maintenance activities and outages Exhibits field presence and knowledge Minimum 3+ years working experience in a Procurement, Expeditor, or Scheduling environment
