Job Overview We are seeking an energetic and detail-oriented Scheduling Coordinator to join our team! In this vital role, you will manage appointment scheduling, coordinate communication between families and therapists, and ensure smooth daily operations. Your proactive approach and excellent organizational skills will help us deliver seamless service and support to our clients and staff. Responsibilities Manage and update appointment schedules for therapists, clients, and service providers using scheduling software. Answer multi-line phone systems promptly with professional phone etiquette, directing calls appropriately. Coordinate calendar management for multiple therapists, ensuring timely appointments and avoiding conflicts. Maintain accurate records of client sessions, cancellations, reschedules, and follow-up appointments. Support front desk operations by greeting visitors, handling inquiries, and managing office flow efficiently. Assist with clerical tasks such as data entry, filing, proofreading documents, and maintaining office supplies. Collaborate with team members to streamline office management processes and improve overall workflow. Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Experience with QuickBooks or similar bookkeeping software is a plus. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Bilingual abilities are highly desirable to serve diverse client needs. Prior office management or administrative experience, especially within healthcare or dental/medical reception settings. Knowledge of multi-line phone systems and excellent phone etiquette for professional communication. Demonstrated customer service skills with a friendly, supportive approach to client interactions. Ability to perform data entry accurately and efficiently while maintaining confidentiality. Strong time management skills to prioritize tasks and meet deadlines consistently.
