$60-65k annually + 10% Performance Bonus Overview We are seeking a detail-oriented Operations & Systems Coordinator to provide critical operational and administrative support to corporate operations and international field teams. This role is responsible for maintaining accurate systems data, managing documentation, coordinating logistics activities, supporting reporting requirements, and ensuring the integrity of operational records. The ideal candidate is highly organized, analytical, and comfortable working with multiple stakeholders across different regions. Key Responsibilities Maintain and organize certification files, compliance records, and operational documentation. Receive and enter new production equipment into internal systems based on inspection and acceptance reports. Upload, maintain, and manage inspection reports, specifications, certificates, and work order documentation. Review invoices for accuracy and facilitate approval processing. Partner with external representatives and internal stakeholders to resolve data discrepancies and ensure timely reconciliation. Monitor and update daily operational activity from production facilities and depots. Coordinate customer booking requirements and distribute booking and release notifications to relevant teams. Coordinate equipment positioning requests with optimization and logistics teams. Maintain knowledge of applicable regulatory registration requirements and ensure accurate system updates. Respond to customer inquiries professionally and in a timely manner. Prepare, maintain, and distribute operational and management reports. Collaborate with systems providers and internal technology teams to resolve CRM and systems-related issues. Participate in user testing for system enhancements and new technology implementations. Issue booking and authorization documentation in accordance with established procedures. Support special projects, process improvements, and ad hoc reporting requests. Qualifications Bachelor's degree required. 1-3 years of relevant professional experience, preferably in operations, logistics, supply chain, administration, or a related field. Strong proficiency with Microsoft Office applications, particularly Excel. Experience working with databases, CRM systems, or enterprise business applications is an advantage. Exceptional attention to detail and accuracy. Strong organizational and time-management skills. Excellent verbal and written communication skills. Ability to manage multiple priorities in a fast-paced environment. Strong analytical and problem-solving abilities.
