This role is central to ensuring smooth internal workflows, accurate system management, and exceptional service delivery to owners, tenants, vendors, and internal staff. The ideal candidate thrives in a structured but dynamic environment, confidently manages competing priorities, and takes ownership of administrative, operational, and coordination tasks with accuracy and professionalism. This position is an excellent opportunity for someone looking to grow within operations, property management, and business administration. Key ResponsibilitiesOperational & Administrative Support Serve as primary operational support to the Director of Operations and property management team Maintain and organize operational workflows, files, and records (digital and physical) Ensure accuracy and consistency of data across systems, including Rentvine and Google Drive Support day-to-day administrative needs of leadership and team members Systems, Data & Financial Processing Enter, update, and maintain leases, tenant records, owner information, rent collections, and recurring charges in Rentvine Assist with rent collection tracking, owner distributions, and delinquency reporting Process invoices, bills, and vendor payments while ensuring proper documentation and coding Collect and maintain vendor compliance documents (W-9s, insurance, etc.) Support reporting accuracy by identifying and escalating data or portfolio discrepancies Leasing & Portfolio Coordination Assist with lease creation, abstraction, renewals, and terminations Support the leasing workflow in collaboration with property managers Lease entry in platform and tenant move-ins Communication & Coordination Manage high-volume communication with owners, tenants, vendors, HOAs, and internal teams Support conflict resolution by addressing concerns calmly and facilitating solutions Requirements Previous experience in operations, property management, or administrative support preferred Strong proficiency with Rentvine or similar systems (or ability to learn quickly) High attention to detail with strong data entry and organizational skills Ability to manage multiple priorities in a structured, fast-paced environment Strong written and verbal communication skills Professional, calm, and solution-oriented approach to problem-solving Ability to take direction while also working independently and proactively Experience handling sensitive information with accuracy and discretion Spanish language skills preferred Benefits 401(k) Health, Dental & Vision Insurance Life Insurance Paid Time Off (PTO) Flexible Spending Account (FSA) Employee Assistance Program (EAP) Additional Details In-person position Occasional driving to surrounding properties
