J Job description: Company Overview Our client is a trusted source for drilling and installation services in California, Nevada and Arizona. We specialize in a variety of drilling solutions, from mineral exploration to water well recovery and geotechnical engineering. Our team of professionals use dual tube RC technology, wireline core methods and more.
Position Overview:
The incumbent will report to the Director of Operations, and support the day-to-day business activities of the Company by managing administrative systems, employee onboarding, and cross-functional project coordination. This role serves as a central administrative support function between field operations, senior management, and finance. The incumbent will help ensure the smooth, compliant, and efficient business operations.
Duties and Responsibilities:
Operations & Field Administrative Support:
Support drilling operations through administrative coordination of: Crew mobilizations and demobilizations Travel, lodging, and per diem logistics Act as an administrative liaison between: Field crews Operations leadership HSE Manager Assist with project setup and closeout from an administrative perspective Support internal scheduling and coordination related to operations •
Employee Onboarding Support:
Coordinate onboarding for new hires, including: Start dates, New hire paperwork and employee file setup MSHA, site access, and client onboarding requirements Maintain employee records and training documentation
Track:
Certifications and expirations, Drug & alcohol program compliance, and Orientation and refresher training Support offboarding and employee status changes Serve as the administrative point of contact for employee questions •
Compliance & Business Administration:
Maintain organized records for: Licenses and permits, Insurance certificates, and Contractor compliance documentation Support audits, client requests, and regulatory documentation Assist with document control for: Company policies and procedures and Safety manuals and internal standards •
Systems, Reporting & Process Support:
Maintain internal administrative systems and shared drives Generate reports and summaries for management as requested Support process improvements and administrative standardization Assist with cross-department coordination initiatives •
General Administrative Support:
Support management with scheduling, correspondence, and coordination Assist with internal communications and announcements Maintain a professional, organized administrative environment Provide backup support across administrative functions as needed • Other duties as required.
Job Requirements:
3+ years of relevant work experience, in a similar role, is required. Experience in a relevant industry is strongly preferred, including Mining, Transportation, Geology, Drilling, Construction, or Engineering services. Strong communication and relationship-building skills. Valid driver's license is required. Professional, organized and disciplined. High integrity and team-oriented mindset. Adaptable and able to work independently and in team settings Proactive and results-driven. Highly organized and detail-oriented Strong follow-through and time management Comfortable working with both field staff and leadership. Able to prioritize in a fast-paced, operations-driven environment. Discreet with sensitive information.
Experience:
Drilling, mining, or construction industry: 3 years (Required) Project coordination: 3 years (Required)
License/Certification:
