Job Overview We are seeking a detail-oriented and energetic Medical Phone Scheduler to coordinate patient appointments and manage communication within our healthcare team. The ideal candidate will possess strong medical administrative skills, excellent phone etiquette, and familiarity with electronic health record (EHR) systems. This role is vital in ensuring seamless scheduling processes, accurate documentation, and outstanding patient service. Duties Answer multi-line phone systems promptly and professionally, providing courteous assistance to patients and staff. Schedule, reschedule, and confirm patient appointments using EMR (Electronic Medical Records) system Athenahealth. Verify insurance coverage and perform insurance verification procedures to facilitate billing processes. Review and update patient records accurately within various EHR systems. Assist with intake procedures by collecting necessary patient information and documenting details thoroughly. Maintain organized filing of medical records and ensure confidentiality in compliance with HIPAA regulations. Support front desk operations by managing appointment flow, handling patient inquiries, and providing exceptional customer service. Perform data entry tasks such as CPT (Current Procedural Terminology) coding, ICD (International Classification of Diseases) coding, and other documentation review activities. Qualifications Proven experience in medical office management or healthcare administrative support, preferably within a medical or dental setting. Strong knowledge of EMR/EHR systems including Athenahealth. Familiarity with medical billing practices such as medical collection processes and insurance verification procedures. Excellent phone etiquette with the ability to communicate clearly and professionally in high-pressure situations. Proficiency in computer skills including Microsoft Office Suite and 10-key typing for efficient data entry. Knowledge of medical terminology, ICD-9/ICD-10 coding standards, CPT coding, and HIPAA compliance requirements. Bilingual abilities are highly desirable to serve diverse patient populations effectively. Previous medical or dental office experience is preferred; familiarity with health information management is a plus.
