Our team takes pride in safety, precision, and compliance, ensuring every load is delivered on time and within regulations. We are looking for a detail-oriented Operations Clerk to join our operations team and support the permitting process for our specialized fleet.

Modern office setting Lively atmosphere Safe work environment Family owned and operated The Operations Clerk is responsible for securing 3rd party pilot cars, data entry and analysis, state, county, and city permits required for oversized, overweight, and specialized loads. This role plays a critical part in keeping our heavy haul operations compliant and running smoothly by coordinating with regulatory agencies, customers, and internal teams. Key Responsibilities
  • Schedule pilot/escort vehicles for oversized loads
  • Coordinate with dispatchers, truck drivers, and pilot car operators
  • Track load movements and delivery timelines
  • Confirm route restrictions and state escort requirements
  • Maintain driver and escort contact information
  • Prepare trip packets and routing details
  • Verify insurance, certifications, and permits for escorts
  • Monitor weather or road closures affecting routes
  • Enter load and trip data into AXON
  • Handle customer updates and communication
  • File transportation records and compliance documents
  • Answer phones/emails from drivers and dispatch
  • Match available pilot cars to loads
  • Confirm pickup and delivery times
  • Communicate changes or delays
  • Update spreadsheets, dispatch systems, or AXON
  • Coordinate emergency coverage if an escort cancels
  • Input routes in EnRoute
  • Approve escort invoices
  • Enter escort invoices in AXON
  • Assist in permitting
  • Stay up to date on escort requirements by state
  • Book police escorts
  • Coordinate with permit clerk to ensure all loads have required escorts
  • Assist in Utility calls for permit process
  • Assist in any other permit process
  • Assist drivers with route questions
  • Weekend on call for escort and permits
  • Accounts Payable clerk duties as needed
  • Perform other office and operations duties as needed Qualifications Previous experience in trucking, transportation, permitting, or related field preferred (oversize/heavy haul a plus).
Knowledge of DOT regulations and state permitting processes. Strong attention to detail and organizational skills. Ability to manage multiple tasks and deadlines simultaneously. Proficiency with computers, permitting software, and Microsoft Office Suite. Excellent communication and problem-solving skills. High school diploma or equivalent required; further education in logistics/transportation a plus.
