Job Description

Company Overview QUAD Inc. is a dedicated organization committed to promoting independence among adults with physical disabilities. Job Overview The Operations Assistant role has been designed to fill a specific need within QUAD's administration and is essential in supporting the corporate office and QUAD's five independent-living apartment buildings. This position will report to their Direct Manager. The main responsibility of the Operations Assistant is to assist in administrative and operational duties. This role will function as a team liaison, connecting the corporate office and the staff members at each building to support a community of growth and learning.
Primary Duties and Responsibilities:
Perform general clerical duties such as general reception for the office, data entry, filing, collecting, and distributing incoming and outgoing mail to appropriate entities, and troubleshooting office related issues. Coordinate supply pickups and occasionally run items of necessity to management at separate locations. Oversee supplies for the corporate office and ensure any necessary supplies are available when needed. Support of bookkeeping duties with basic accounting tasks such as resident invoicing, accounts payable and expense tracking, and other necessary processes as assigned. Perform routine program compliance related tasks of the organization and its affiliates. Provide executive assistance to the Executive Director as assigned. Provide support to fundraising efforts, marketing and corporate events. Assist housing with waitlist lead generation, applicant administration, and filing online as well as on site. Assist with events at the office and at outside locations. Complete other administrative and operational duties as needed.
Qualifications and Necessary Skills:
Ability to pass an SPD Background Check and Pre-employment Screening. 2 or more years of office or administrative experience with bookkeeping exposure. Valid Oregon or Washington driver's license (if neither of those states, must obtain driver's license within 30 days of residency) with an insurable driving record (i.e., must meet established criteria), proof of insurance (i.e., Declaration Page), and at least three years of driving experience. Proficiency in Microsoft Office 365. Excellent time management, punctuality, and attendance skills. Excellent written and verbal communication. Ability to meet deadlines and address time-sensitive issues. Conflict resolution skills. Ability to manage workflow amid shifting priorities. Experience with QuickBooks, Yardi, or similar programs preferred.
Work Hours and Conditions:
The designated work hours are from 8:30 AM to 4:30 PM. This job is generally performed in an office environment where you may remain sitting for extended periods of time. Standing desks are standard at the corporate office. This job also includes regular local travel for various projects.
Pay:
$20.00 - $23.00 per hour
