Job Description
Job Overview We are seeking a dynamic and detail-oriented Administrative and Operations Specialist to join our team. In this vital role, you will serve as the backbone of our office, ensuring smooth daily operations, exceptional customer support, and efficient administrative processes. Your proactive approach and organizational expertise will help foster a productive work environment, support team collaboration, and enhance overall office functionality. This paid position offers an exciting opportunity to develop your skills in office management while contributing to a vibrant organizational culture. Please note, Full Circle Computing, LLC is a trade school in the state of PA that serves about 250 students per year. We transform lives through skills development and are interested in someone who is passionate about serving others. We focus on healthcare and digital trades. Duties Manage front desk responsibilities, greeting visitors and directing inquiries with professionalism and courtesy Operate multi-line phone systems to handle incoming calls efficiently, providing excellent phone etiquette and customer service Oversee office management tasks including filing, data entry, calendar management, and maintaining organized records Support administrative functions through computer literacy in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Assist with clerical tasks such as proofreading documents, preparing reports, and managing correspondence Coordinate scheduling and calendar management for team members or executives to optimize time management and personal assistant duties Hours 8am to 5pm, 3 days per week Support students with career related services, such as finding a job Print and bind books Kitchen, lobby, an classroom set up Ordering supplies Printing materials as needed for the team Managing student communications Data entry Registration support You will be be trained on all tasks Skills Proven experience with office management, administrative support or clerical roles in a professional environment Strong computer skills including proficiency in Microsoft Office, Google Workspace, data entry, and general computer literacy Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting Exceptional phone etiquette and customer service skills to handle inquiries professionally via multi-line phone systems Attention to detail in proofreading documents and maintaining accurate information systems Effective time management skills to juggle multiple responsibilities seamlessly Personal assistant experience or previous office experience will be considered an asset Join us as an Administrative and Operations Specialist to play a pivotal role in creating an efficient workplace environment while advancing your career in office administration.
