The Complex Operations Assistant works closely with the Complex Operations Manager or Complex Director to ensure that all operations functions are promptly and accurately performed within the Complex. The Complex Operations Assistant may be the primary liaison with home office departments including Operations, Human Resources, Compliance, Training and Private Client Group (PCG) Administration.
What you are good at:
Communication -Providing excellent telephone service to clients and potential clients, including prompt, accurate, and timely attention to detail. Able to compose effective client correspondence in accordance with established policies and procedures Initiative - Proactively utilizing available technology and tools to support efficient and effective time management; Able to assist FAs in organizing and implementing productivity-based campaigns; Knowledgeable, in accordance with established policies, of all firm technology necessary to provide quick responses to FA and client inquiries. Building Relationships - Connecting with others in a way that fosters trust and creates collaborative relationships; Able to anticipate potential issues and/or problems and alert respective FA and/or Branch Management as necessary.
Responsibilities:
Process deposits and disbursements, review for appropriateness and accuracy. Prepare and make bank deposits. Receive, prioritize and process orders. Evaluate margin requirements. Process and obtain approvals for legal transfers and stock options. Forward securities and supporting documentation to home office. Distribute branch mail, faxes, and morning reports. Perform other duties as required that contribute to the overall effectiveness of the Complex and individual FAs. May also perform duties of a Private Client Assistant and work with FAs within the Complex. Assist peers when necessary. Assist FAs and Complex Manager in the ongoing development and maintenance of effective client relationships as determined by the Complex Manager.
Requirements and Skills:
High School diploma Prior office experience preferred but not required Series 7 and 66 preferred but not required Excellent customer service skills Computer skills in Word, Excel, PowerPoint and Outlook Good math skills Able to work effectively in a fast paced, deadline oriented environment Strong attention to detail Able to work effectively as part of a team High ethical standards Knowledge of all firm policies and procedures. Knowledge of all firm technology, and ability to learn and adapt to new solutions. Why work for us?
