Responsibilities:
This is a hybrid opportunity. The ideal candidate must be commutable to our Center City, MN location. Provide high-level administrative support to the Hazelden Betty Ford Graduate School Leadership team to ensure all administrative duties are handled in a professional, timely and efficient manner to ensure smooth operation of the department, and to assist in meeting goals. Position requires an understanding of the executives' responsibilities and method of operation, as well as an understanding of the Hazelden Betty Ford Graduate School policies and procedures. Oversee broad range of administrative and process/project management activities. Provide outstanding customer service to employees, students, and external customers while maintaining a smooth operation of the Graduate School. Enhances deans' effectiveness by providing information management support; representing the deans to others Provide project management or assist in special projects as directed by the deans
Other Duties & Responsibilities:
Work closely with leadership team, executive assistants and Graduate school faculty, staff, and adjuncts to establish standardized procedures and complete tasks. Maintain knowledge of Hazelden Betty Ford Graduate School's mission, philosophy, values, and programs and services. Maintain knowledge and understanding of Hazelden Betty Ford Graduate School's records management policies and procedures. Knowledge of and ability to apply Hazelden Betty Ford Graduate School's policy on confidentiality. Seek continued education on productivity applications, AI, analytics, and other technology tools.
Qualifications:
Required Qualifications:
Associates degree or equivalent (3 years of related work experience) 4+ years directly related experience in administrative assistance Highly proficient computer skills in Microsoft applications (including Outlook, Excel, Word, Power Point, Visio) Excellent communication skills, both verbal and written Demonstrated experience in creating visual presentations (including financial reports/charts) Demonstrated experience scheduling meetings, creating appointment requests, and setting up virtual meetings (using software or technology such as Zoom and WebEx)
Preferred Qualifications:
Bachelor's Degree Knowledge of professional counseling profession and licensure processes Experience working in fast-paced environment Customer service focused with ability to work with a diverse group of students, faculty, and staff Extensive administrative/office experience in a higher education
