Grant Operations Coordinator (Philanthropy based) Wilmington, DE Hybrid work From $65,000 a year - Full-time From $65,000 a year - Full-time Grant Operations Coordinator About the Foundation The Raskob Foundation for Catholic Activities is an independent, private, nonprofit family foundation founded in 1945. Rooted in a deep commitment to service, the Foundation advances the mission of the Roman Catholic Church by providing resources in support of ministries, organizations, programs, and projects that serve the Church and its global community. Guided by the vision of its founders, John and Helena Raskob, five generations of family members continue to carry forward this legacy of faith-driven philanthropy and impact around the world. Position Summary The Grant Operations Coordinator oversees key operational components of the Foundation's grantmaking process, including application intake, compliance review, data governance, and reporting. This role exercises independent judgment in evaluating application completeness, interpreting internal guidelines, and determining readiness for both Membership and Board-level consideration. The Coordinator serves as a key liaison between applicants, internal leadership, Membership, and the Board of Trustees, ensuring that all grant materials are accurate, complete, and aligned with Foundation standards. This position plays a central role in supporting Membership and Board-level decision-making by analyzing application data, identifying trends, and preparing structured reports and recommendations that inform grant review, scoring, and ranking processes.
Key Responsibilities:
Grant Application Support Assist applicants using the Microsoft-based CRM grant portal to ensure successful submission of applications and required documentation. Provide guidance on application requirements, formatting, and submission procedures. Monitor incoming applications and ensure timely completion within established deadlines. Document Review & Compliance Review applications for completeness, required supporting materials, and eligibility criteria. Identify missing or incomplete documentation and follow up with applicants as needed. Ensure applications meet internal foundation guidelines prior to review. CRM & Data Management Manage grant data within CRM systems, including creating and maintaining views, running queries, and exporting data for reporting and review. Maintain accurate, consistent, and well-organized records across systems. Support data integrity by identifying and correcting discrepancies or incomplete entries. Assist in maintaining structured workflows throughout the grant lifecycle. Contracts & Electronic Signatures Prepare, send, and track grant agreements and related documents using DocuSign and/or Adobe Sign. Ensure executed agreements are properly recorded and linked to corresponding grant files. Monitor signature status and follow up to ensure timely completion. Membership & Board of Trustees Reporting & Support Prepare organized reports, summaries, and application packets for Membership and Board of Trustees review. Compile data exports and structured application summaries to support ranking processes. Support basic data analysis by organizing application trends, summaries, and comparative datasets. Ensure Board materials are accurate, clear, and easy to review. Qualifications Experience working with CRM systems, including ability to navigate views, run queries, and export data. Proficiency with Microsoft tools and data management systems. Experience using DocuSign and/or Adobe Sign. High attention to detail and strong organizational skills. Ability to manage multiple deadlines and maintain accuracy under time constraints. Strong written communication skills. Ability to exercise independent judgment. Experience in nonprofit, foundation, or grants administration environment preferred. Understanding of the Catholic Church and its hierarchy helpful but not required. Associate or bachelor's degree, or relevant experience preferred. The position requires both independent system-based work and collaborative support of internal leadership and the Board of Trustees. Work Schedule This is a full-time salaried position based in Wilmington DE. This position is currently structured as a hybrid role, combining on-site and remote work. The schedule and flexibility may evolve over time based on organizational needs, and regular in-person presence will be required to support team collaboration and Board-related activities. This role requires flexibility in scheduling, including occasional evening and weekend hours, particularly during peak grant cycles, Board meetings, and other time-sensitive periods. Ability and willingness to travel, locally and within the U.S. We are looking for individuals who are enthusiastic about traveling on weekends and embracing the adventure of overnight stays at least four times throughout the year. Your willingness to explore new places will add excitement to our team!
