We are seeking an Instructional Operations Coordinator to support the systems and day-to-day operations that power high-quality programs for adult English language learners from diverse backgrounds.
About us:
The mission of the English Empowerment Center (EEC) is to teach adults the basic skills of reading, writing, speaking, and understanding English so they can access employment and educational opportunities and more fully and equitably participate in the community. Each year, we serve 2000 adult English language learners from 90 different countries who speak over 50 different languages with the help of over 500 volunteers who give more than 20,000 hours of service.
Position Overview:
To advance EEC's mission, learners, and reputation for leadership in the field of adult education by coordinating the logistics and communications that support instructors, learners, and program operations.
Primary Responsibilities:
Instructional Staffing and Placement Coordinate placement and scheduling of instructors (teachers, class aides, and tutors). Collaborate with the volunteer management team to support timely placement of paid instructors and volunteers into teacher, class aide, and tutor roles. Support the process for hiring paid instructors (job postings, application tracking, interview scheduling, and candidate communications) in collaboration with program staff. Help maintain up-to-date records of instructor placements, availability, and sub coverage needs. Program Operations Coordinate onboarding logistics for instructors, including materials distribution, welcome communications, and connections to ensure readiness for the start of class. Organize instructor meetings (e.g., orientations, chats, check-ins), including promotion and communications. Send routine program communications to instructors related to schedules, deadlines, logistics, key updates, etc. Assist with program operations, including preparation of registration and class materials, book distribution, and coordination of key activities across the semester. Help with registration and testing. Support logistics for online and in-person testing processes, in coordination with program staff. Track inventory of instructional books and supplies, and coordinate purchasing. Help with logistics for and tracking of book clubs, field trips, and other ad hoc extra-curricular activities. Handle external requests to observe classes. Instructor and Learner Support Serve as the primary point of contact for paid instructors' timesheets and required documentation. Route (non-instructional) questions or concerns from students or instructors to the appropriate staff member and follow up to ensure resolution. Track participation in supplemental tutoring and support outreach to encourage engagement. Coordinate distance education access and enrollment (platform access, learner onboarding, participation tracking). Maintain accurate participation records and complete data entry for student services (supplemental tutoring, distance learning services, student advising). Support the laptop lending program and other educational technology initiatives. Other duties as assigned
Qualifications:
High school diploma or equivalent required, with relevant work experience in program coordination, nonprofit work, administration , or a related field. Highly organized and detail-oriented , with the ability to manage multiple projects, meet deadlines, and adapt to changing needs. Excellent communication skills , with knowledge of plain language principles and skill in clear, precise, and compassionate communication. Relationship builder; ability to quickly build trust with individuals from diverse backgrounds. Proficiency in using technology for program management (e.g., Microsoft Teams, Google Workspace, Salesforce, Zoom ). Experience working with low-income or historically marginalized community groups in a multicultural environment. Ability to work evening hours one or two days a week during semesters. Ability to work with limited supervision and to collaborate with teams. Possess a dependable mode of transportation to help with registration, testing, or materials distribution across the Northern Virginia and D.C. metro area. Preferred Qualifications Experience working with volunteers or coordinating volunteer-supported programs Bilingual proficiency in English and one of EEC's most common learner languages (e.g., Spanish, Dari, Pashto, Arabic, Persian, Korean, Vietnamese, or Amharic) Familiarity with adult education, ESOL programs, or workforce development programs Benefits Medical, dental, and vision insurance
