Job Description

Office Assistant/Scheduler -
Remote Where:
Community Spay-Neuter Clinic; This position is remote (see possible exception below)
Type:
This is an hourly position with no benefits.
Schedule:
Monday-Thursday; Average 25 hours, with assignment of hours depending on need
JOB SUMMARY
Responsible for appointment scheduling and answering and returning calls. Ensures clinic schedule is appropriately and intentionally filled with requisite mix of patients. Works to keep schedule at full capacity at all times, alerting supervisors to upcoming gaps in schedule, and assisting with outreach and advertising as needed. Responsible for calling owners of pets in the clinic, to make recommendations for services and other medical care, as directed by medical staff. Maintains complete and accurate online records of clinic patients to include medical notes, services received, and payments. Reconciles payment histories, assists with billing, and supports Practice Manager in other appointment, billing, and client communications related tasks. At this time, this position is remote. However, if there is a need for the position to be onsite periodically or temporarily, to support operations, this person should be willing and able to work on-site upon request.
WORKING RELATIONSHIPS
Works closely with the Clinic Director, Practice Manager, and other clinic staff.
ESSENTIAL JOB FUNCTIONS
  • Attention to detail in billing, patient and client notes, scheduling services, and overall attention to accurate and timely online record-keeping. This applies to patients for day-surgery, and recheck and wellness exams
  • Ensure timely, accurate and complete medical records and discharge summaries, including spay-neuter certificates and rabies certificates
  • Maintain accounts receivables for all owner and volume clients, and assists with invoicing, billing, and client communications about payments, as required
  • Answer clinic phones, returns messages, forwards messages to appropriate staff in a timely manner Maintain patient database Ensure proper paperwork is ready to send home (or email) with each patient at the end of the day Respond to client questions and concerns, and provide information as appropriate and required Ensure that owners are happy and comfortable with leaving their pets in a safe and caring environment
