Job Description
POSITION SUMMARY
The Operations Coordinator serves as a critical cross-functional resource responsible for all operational support activities across multiple contracts. It will also include managing human resources functions, payroll administration and benefits coordination. This role is ideal for a detail-oriented professional who thrives in a dynamic, fast-paced environment. A broad working knowledge of employment law, Service Contract Act (SCA) regulations, and HR best practices are helpful.KEY RESPONSIBILITIES
Operations Support Assist management with workforce planning, employee relations matters, and special projects. Support the development and continuous improvement of operational processes and procedures. Coordinate cross-functionally in the absence of the program manager. Expense Reporting Build, review, and process employee expense reports in accordance with company travel and expense policies. Verify supporting documentation and ensure proper coding of expenses to appropriate cost centers. Coordinate with Finance and Accounting for timely reimbursement and month-end reconciliation. Payroll & Timekeeping Set up new employees in payroll systems and ensure accurate entry of compensation, deductions, and tax information. Review, verify, and approve employee timecards in accordance with company policy and applicable labor regulations. Process bi-weekly or semi-monthly payroll runs and resolve payroll discrepancies in a timely manner. Maintain payroll records and ensure compliance with federal, state, and local wage and hour laws. Recruiting & Onboarding Coordinate full-cycle recruiting activities including job postings, applicant screening, interview scheduling, and offer letters. Facilitate new employee onboarding, including I-9 verification, orientation scheduling, and system access setup. Maintain applicant tracking records in compliance with EEOC and OFCCP requirements. Benefits Administration Administer employee benefits programs including health, dental, vision, life insurance, and retirement plans. Serve as primary point of contact for employee benefits inquiries and coordinate open enrollment activities. Process enrollments, changes, and terminations in benefits platforms in a timely manner. Reconcile monthly benefits invoices and coordinate with Finance for payment processing. Compliance & Labor Law Ensure compliance with applicable federal and state labor laws including FLSA, FMLA, ADA, and Title VII. Apply working knowledge of the Service Contract Act (SCA) to ensure proper wage determinations, fringe benefit compliance, and required postings on covered contracts. Maintain and update employee handbooks, HR policies, and required workplace postings. Support internal audits and respond to regulatory agency inquiries as needed.MINIMUM QUALIFICATIONS
Bachelor's degree in Human Resources, Business Administration, or a related field, OR equivalent combination of education and experience. 2+ years of experience in an HR generalist, payroll, or operations support role. Working knowledge of Service Contract Act (SCA) compliance requirements. Familiarity with federal and state employment laws (FLSA, FMLA, ADA, EEO, etc.). Proficiency with payroll platforms (e.g., QuickBooks ) Strong attention to detail, organizational skills, and ability to handle confidential information with discretion. Proficient in Microsoft Office Suite (Word, Excel, Outlook).PREFERRED QUALIFICATIONS
PHR, SHRM-CP, or CPP (Certified Payroll Professional) certification. Experience supporting government or defense contractors with SCA-covered contracts. Experience with expense management platforms (e.g., Concur, Expensify). Prior experience in a multi-state employer environment.WORK ENVIRONMENT & PHYSICAL REQUIREMENTS
This position operates primarily in a remote environment but might require in-person duties on occasion. The employee is regularly required to communicate verbally and in writing, use standard office equipment, and work at a computer for extended periods. Occasional travel may be required.
