Operations & Office Coordinator (Part-Time)

Part-Time (10-15 hours per week)

Flexible days and hours About Us Allmark Signs & Graphics is a growing custom signage and visual communications company serving businesses, organizations, and institutions throughout Southern New England. We pride ourselves on being responsive, reliable, and delivering remarkable customer experiences. Position Overview We are seeking a detail-oriented and organized Operations & Office Coordinator to support daily administrative and operational activities. This role works closely with ownership, production staff, vendors, customers, and local municipalities to help keep projects moving efficiently from order through installation. The ideal candidate is proactive, comfortable managing multiple priorities, and enjoys a combination of administrative work, customer service, and project coordination. Responsibilities Prepare, issue, and track purchase orders to suppliers and subcontractors Follow up with vendors to confirm order status and delivery schedules Assist with permit applications and submissions to local municipalities Track permit status and follow up with municipal offices as needed Support customer service activities, including answering phones and responding to inquiries Assist with scheduling and coordination of production and installation activities Maintain project records and documentation Organize digital and physical files Assist with invoicing, data entry, and general office administration Coordinate communication between office staff, production personnel, and customers Perform other administrative and operational support duties as assigned Qualifications Strong organizational and time management skills Excellent written and verbal communication skills Proficiency with Microsoft Office (Outlook, Word, Excel) Ability to manage multiple projects and deadlines Comfortable making phone calls and following up with vendors, customers, and municipal offices Detail-oriented with strong problem-solving abilities Prior administrative, office management, customer service, or project coordination experience preferred Experience with permits, construction, signage, or related industries is a plus What We Offer Flexible schedule Friendly and collaborative work environment Opportunity to play an important role in a growing local business Variety of responsibilities with meaningful impact on company operations
Compensation:
Based on experience.
Pay:
$22.00 - $27.00 per hour
