Summary The Trust Operations Coordinator is responsible for the overall coordination of daily operations for the Trust Department in Omaha, NE and Dakota Dunes, SD and we are open to hiring a coordinator in either location. This position implements and maintains operational controls for the Trust Department with a focus on transactional reviews, account and asset reconciliations, record keeping, and tax and portfolio accounting functions. The position requires a strong orientation towards operational efficiency, productivity, internal controls, compliance and process improvement. The Trust Operations Coordinator must be able to operate effectively in a growth oriented, team focused, and transformational environment and be ready to support the Trust Manager/Officer(s) in the delivery of a variety of Trust administrative services. Additionally, the Trust Operations Coordinator needs to be ready to assist the Trust Officers with the execution of investment and vendor due diligence reviews, risk analysis, and other fiduciary administration matters.
Summary of essential job functions:
Development of proficiency with Trust accounting system in an outsourcing environment. Responsible for oversight of processing, clearing, servicing and settlement of transactions. Responsible for oversight of routine operational balancing and reconciliation of accounts and assets Coordinate with Trust Officer the submission of all reports, documents, etc. for internal/external audits/examinations. Documents, implements and monitors internal controls.
Open and close accounts:
including set up and removes computer records, complete open and close checklists; and set up, re-registers and distributes assets. At the request of Trust Officer or other Investment Advisors, process purchases and sales of stocks, bonds, mutual funds, ETF's. When necessary, obtain and provide manual price updates for miscellaneous assets to trust accounting software vendor. When necessary, obtain date of death (DOD) estate valuation information. Responsible for trust vault activity and audits. Responsible for oversight of resolution of transaction and custody exceptions. Responsible for oversight and processing secure wire transfers, ACH transfers, cash receipts and all check production. Handle fiduciary DDA cash reconcilement review net settlement and other money movement. Perform complex inquiries and research. Monitor open items (Free Receipt of Assets/Transfers/Corporate Actions, etc.) in the department. Ensure adequate due diligence and record keeping Assist with daily Trust administrative duties. Develops and implements special projects/reports. Facilitates communication between trust operations and other members of Core Bank. Responsible for being current with a variety of trust concepts, practices and procedures. Provide expert services to internal and external customers. Assist in problem resolution. Supports financial management function/fees/budgeting/forecasting/business plan tracking
Marginal Job Functions:
Perform daily duties including copying, time/date stamp documents, filing, scanning and handling calls from clients. Composes and types routine business letters and other correspondence. Assist in coordinating Core Bank marketing efforts. Includes research and suggestions for the preparation of department marketing materials, coordination of seminars and external marketing efforts (booths, public presentations, etc.) and facilitate internal referral trust programs. Maintain Core Bank website information and other electronic media. Complies with company policies and all applicable federal and state regulations Education and Experience Bachelor's Degree preferred or commensurate experience. Three to five years related Trust Operations experience or equivalent combination of education and experience. Experience working in a Trust Operations outsourcing environment preferred. Understanding of financial services market is required. Required Skills/Abilities/Knowledge Alignment with Core Bank's Purpose, Values, and Vision. Knowledge of trust accounting systems required. Ability to perform various technological applications between the trust accounting system and other software vendors, advanced knowledge of Microsoft Office products. Ability to display professional image to clients, internal staff, as well as external professionals including CPA's Attorneys, Investment Advisors, etc. Self-motivated and willing to share innovative ideas. Able to make deadlines, even under pressure. Handle daily job duties without constant supervision. Work as part of an existing team. Above average organizational skills, but also someone who can work on several duties at the same time. Understands the importance of organizational confidentiality. Strong verbal and writing skills.
