Office & Operations Coordinator Executive Doors and Gates Middle Tennessee /
Nashville Area:
Hybrid (in-office/remote) Executive Doors and Gates is seeking a highly organized and proactive Office & Operations Coordinator to help manage the day-to-day communication, scheduling, coordination, and administrative operations of our growing company. This role serves as the communication and coordination hub between customers, field crews, vendors, and ownership. The ideal candidate is detail-oriented, customer-focused, calm under pressure, and able to manage multiple moving parts in a fast-paced service environment. This is not simply a receptionist or administrative position — this role plays a key part in helping projects, scheduling, customer communication, and daily operations run smoothly and efficiently. Responsibilities Answer incoming customer calls, texts, and emails professionally and promptly Schedule service calls, estimates, and installation appointments Coordinate daily schedules and dispatch technicians/install crews Communicate schedule updates and project information with customers and field staff Track project progress and help ensure jobs stay organized and on schedule Maintain accurate customer and job records within Service Fusion Assist with invoicing, payment coordination, and administrative tasks Coordinate with vendors and suppliers regarding materials and deliveries Help resolve scheduling, ordering, or operational issues proactively Support ownership with day-to-day office and operational coordination Qualifications Strong organizational and multitasking skills Excellent communication and customer service abilities Comfortable working in a fast-paced service environment Experience with scheduling, dispatching, project coordination, or office operations preferred Construction, garage door, HVAC, plumbing, electrical, or service-industry experience is a plus Experience with Service Titan or similar field service software preferred Strong attention to detail and problem-solving ability Proficient with computers, tablets, etc. and Microsoft office suite Core Traits We Value Ownership mindset Reliability Problem-solving ability Professional communication Attention to detail Ability to stay calm under pressure Compensation & Benefits Paid time off Simple IRA Simple IRA match Health Stipend Competitive pay based on experience Growth opportunities within the company Supportive and team-oriented work environment If you enjoy organization, communication, customer service, and helping operations run smoothly, we'd love to hear from you.
