This role is critical to the accuracy, efficiency, and integrity of our investment operations, supporting the full lifecycle of client investment activity from transaction processing and account maintenance to compliance coordination and risk mitigation. The ideal candidate will bring a strong operational mindset, exceptional attention to detail, and the ability to manage sensitive financial information with discretion and precision. In this role, you will help ensure investment transactions are processed accurately, regulatory requirements are met, potential fraud or operational risks are identified early, and internal workflows remain consistent, compliant, and client-centered. This aligns well with the firm's broader emphasis on disciplined client process, documentation, risk awareness, and advisory support Duties Process new account paperwork, account maintenance forms, transfer requests, ACATs/TOAs, and other custodial documents accurately and timely. Support the movement and setup of client assets by coordinating with custodians, advisors, internal team members, and third-party partners. Track pending business, transfers, account openings, and follow-up items to ensure each case continues moving forward without unnecessary delays. Review paperwork for completeness, accuracy, signatures, dates, account numbers, required disclosures, and supporting documentation before submission. Submit forms and service requests through custodian platforms, advisor portals, or other approved processing channels. Maintain accurate records in the firm's CRM, document storage system, custodial platforms, and internal tracking sheets. Monitor custodial alerts, transfer statuses, rejected paperwork, and outstanding requirements; communicate updates to the appropriate team members. Assist with client account servicing items such as beneficiary updates, address changes, money movement requests, RMD processing, account titling changes, and other operational requests. Follow firm procedures, documentation standards, and compliance requirements for account processing and client file maintenance. Communicate professionally with advisors, client service team members, processors, custodians, and outside partners to resolve paperwork issues or operational discrepancies. Maintain confidentiality and accuracy when handling sensitive client financial information. Support internal audits, file reviews, and quality-control checks by ensuring client records and processing documentation are complete and properly organized. Identify recurring processing issues, bottlenecks, or documentation gaps and communicate recommended improvements to leadership. Skills Strong attention to detail and ability to review paperwork, forms, signatures, dates, account information, and supporting documentation for accuracy and completeness. Experience with financial services operations, account processing, custodial paperwork, or new business support preferred. Familiarity with custodial platforms, CRM systems, document management systems, and internal tracking tools. Ability to manage multiple pending items, deadlines, follow-ups, and service requests without losing accuracy or momentum. Strong organizational skills and ability to maintain clean records, accurate notes, and properly stored client documentation. Professional communication skills for working with advisors, internal team members, custodians, and third-party partners. Ability to identify missing information, paperwork errors, rejected items, and operational issues, then follow through until resolved. Comfortable handling sensitive client financial information with confidentiality, discretion, and professionalism. Process-driven mindset with the ability to follow established procedures, checklists, naming conventions, and documentation standards. Ability to work in a fast-paced environment while maintaining accuracy, consistency, and timely communication. Basic understanding of investment accounts, retirement accounts, transfers, beneficiary updates, RMDs, and account maintenance processes preferred. Willingness to learn firm systems, custodial requirements, compliance procedures, and internal workflows. The ideal candidate will be detail-oriented, organized, and comfortable managing multiple account processing tasks at one time. This role requires strong follow-through, professional communication, confidentiality, and the ability to review paperwork and documentation with accuracy. Experience with financial services operations, custodial paperwork, CRM systems, document storage, account transfers, retirement accounts, and client service requests is preferred. The right person will be process-driven, dependable, and committed to maintaining clean records, timely updates, and a high standard of operational execution.
