In this pivotal role, you will be responsible for delivery schedules, coordinating with multiple departments, and ensuring seamless communication across all levels of the organization. Your proactive approach will help optimize daily operations, enhance customer satisfaction, and support overall office efficiency. This paid position offers an exciting opportunity to develop your administrative and office management skills in a fast-paced environment. Responsibilities Coordinate and maintain accurate scheduling of deliveries, pick-ups, and installations using calendar management tools. Communicate effectively with customers, team members, and external partners via multi-line phone systems and email to confirm appointments and relay important updates. Manage front desk duties including greeting visitors, handling phone etiquette, and directing inquiries promptly. Utilize computer skills including Microsoft Office, Google Workspace, Airtable, and data entry. Daily verification that customer-facing forms are filled out completely. Coordinating with accounts receivable in requesting customer deposits and following through with the payment of the deposit. Requesting Certificates of Insurance from our insurance company and verifying that all necessary information is provided and communicated to our customer. Assist with customer support by addressing inquiries professionally and providing exceptional service to clients or patients. Perform clerical duties such as typing correspondence, managing office supplies, and supporting bookkeeping activities using QuickBooks or similar software. Experience Must have a working knowledge of Softr calander management. Previous office experience in a clerical or administrative role is preferred. Proven ability to manage multiple tasks simultaneously with excellent organizational skills and time management. Strong computer literacy , we are exclusively Apple Hardware. Proficiency in Airtable, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry systems. Experience with multi-line phone systems and front desk operations is highly desirable. Demonstrated customer service skills with a professional demeanor and excellent phone etiquette.
