Job Description

Job Overview We are seeking a dynamic and detail-oriented Scheduler/Treatment Coordinator to join our vibrant dental practice team. In this pivotal role, you will serve as the first point of contact for patients, managing appointment scheduling, treatment planning, and insurance coordination with enthusiasm and professionalism. Your proactive approach will ensure seamless patient experiences, efficient office operations, and optimal treatment flow. Responsibilities Coordinate patient appointments using advanced dental practice management software such as Eaglesoft or Dentrix, ensuring optimal scheduling efficiency. Serve as a primary liaison between patients and clinical staff, explaining treatment plans clearly and answering questions with confidence. Verify insurance coverage, process claims, and handle insurance authorizations utilizing systems like Epic, Meditech, or Athenahealth to maximize benefits for patients. Review and update medical records, ensuring accuracy and compliance with HIPAA regulations while maintaining thorough documentation review processes. Assist in developing comprehensive care plans tailored to each patient's needs, integrating medical and dental terminology for clarity. Manage phone inquiries with excellent phone etiquette, multi-line phone systems, and professional communication skills to provide exceptional patient service. Maintain organized filing of medical records and documentation while supporting front desk activities such as check-in/check-out procedures and billing support. Stay current with CPT coding, ICD-9/10 coding standards, Medicare guidelines, and medical billing practices to facilitate accurate medical coding and documentation. Skills Strong proficiency in EMR systems such as Eaglesoft, Dentrix, eClinicalWorks, or similar platforms; experience with Epic or Meditech is a plus. Knowledge of dental terminology combined with medical terminology for effective communication across disciplines. Familiarity with insurance verification processes, medical billing, ICD coding, CPT coding, and Medicare guidelines. Excellent computer skills including Microsoft Office Suite (Word, Excel) and health information management software. Exceptional organizational skills with the ability to manage multiple tasks efficiently in a fast-paced environment. Bilingual abilities are highly desirable to serve diverse patient populations effectively. Prior clinic or dental office experience is preferred; familiarity with front desk operations and office management enhances success in this role. Demonstrated customer service excellence along with strong phone etiquette and typing skills (including 10-key typing). Knowledge of HIPAA compliance standards ensures confidentiality and proper handling of sensitive health information.
