Job Description

Position Overview:
We are seeking a detail-oriented, reliable, and accountable Operations Assistant to support daily operations and assist management. This role focuses on reviewing service documentation, verifying billing accuracy, organizing internal processes, and ensuring all jobs are properly documented and completed. The ideal candidate takes ownership of their work, follows through on tasks, and is proactive in identifying and resolving issues. This is a part-time position.
Key Responsibilities:
Review service logs and technician notes for accuracy, completeness, and clarity Ensure labor hours, work performed, and notes are properly documented Cross-check service orders against billing to ensure accuracy Identify and flag missing information, inconsistencies, or billing errors Track and follow up on completed jobs that have not been billed until resolved Communicate with technicians and office staff to clarify or correct job details Assist with light administrative and financial tasks (data entry, organizing invoices, processing simple payments, etc.) Maintain organized and accurate records of jobs, invoices, and documentation Support management with day-to-day operational tasks and follow-ups
Process & Organization Responsibilities:
Assist with organizing and maintaining Standard Operating Procedures (SOPs) Help document and improve internal processes using tools such as Notion Organize digital files, folders, and workflows in a clear and structured way Ensure processes and documentation are kept up to date and easy to follow Take ownership of assigned projects and follow through to completion
Training & Growth:
Learn how to read and interpret service orders and technician notes Gain understanding of company billing processes and common errors Develop the ability to independently review and validate job documentation and billing accuracy Build skills in process organization and operational efficiency
Qualifications:
Strong attention to detail (critical for success in this role) Organized and able to manage multiple tasks Comfortable reviewing information for accuracy and identifying discrepancies Accountable and dependable — follows through on tasks without constant supervision Willingness to ask questions and follow up when something doesn't look right Good communication skills Prior administrative experience preferred
