ESSENTIAL JOB FUNCTIONS
Obtain updates from superintendents to maintain the Down Car List and communicate down car status updates to dispatch. Maintain and track field employee vacation requests and enter updates into the operations tracking system. Assist mechanics with mobile device and systems support, including downloads, troubleshooting, ordering phones, tools, and brochures for the service and repair departments. Support managers with safety meetings and maintain all related documentation and records. Assist the Repair Manager with repair scheduling, customer communication, and permit applications. Create parts requisitions, receive parts, and review weekly reports of unreceived invoices. Perform research and reporting for Repair and Modernization Managers, including account history, work in progress, routing, TK Exact, missed service reports, sick unit reports, and billable call research. Compile data and prepare reports for high-profile service accounts, as needed. Manage company vehicles and submit vehicle change requests to LeasePlan, as applicable. Review contract booking packages, including customer number request forms, Installed Base forms, and contract transmittal documentation. Create and maintain branch mechanic files. Ensure customer change forms are accurate and forward completed documentation to regional contract administrators. Process service contract change requests and attach all required supporting documentation. Verify information on new EDS sheets, update customer contact information in service contracts, and research existing customer, Installed Base, and contract information within company systems. Receive and review final acceptances from Construction and Modernization departments and process owner or unit changes as needed. Prepare the monthly NIM report for Corporate, verify accuracy, distribute reports to sales and branch leadership, and maintain the NIM tracker. and distribute special deck invoices and service contract invoices to customers upon request. Maintain the branch cancellation log and complete cancellation packages for submission to regional contract administrators. Participate in monthly accounts receivable conference calls with Regional Collectors and actively follow up on outstanding A/R items. Assist with processing certificates of insurance for service jobs and set up customers within the Customer Service Portal. Maintain branch PCard records and distribute incoming mail and faxes. Support branch sales efforts and perform additional duties as assigned. Who we are looking for
EDUCATION & EXPERIENCE
High school diploma or GED (general education degree); or one-year certificate from college or technical school; or three to six months related experience and/or training in basic business administration; or an equivalent combination of education and experience Some elevator repair administrative work, preferred. Oracle database knowledge, preferred. What we offer Hourly rate: $26.00
