POSITION SUMMARY
The Accounting Operations Specialist plays a critical role in managing and optimizing the laboratory's financial and operational workflows. This position is responsible for overseeing complex invoicing processes, supporting procurement and vendor management, maintaining audit-ready documentation, and ensuring accurate financial data across multiple systems. Reporting to the Director of Operations, this role partners closely with Finance and laboratory teams to improve efficiency, maintain compliance with ISO standards, and support the day-to-day financial operations that drive business performance. Primary Roles and Responsibilities Laboratory Financials and Procurement Generate complex invoices by pulling and validating data from multiple systems and sources Manage large datasets using Excel and other data management tools to ensure accuracy and efficiency Maintain organized financial and operational records to support
ISO17025
audits and compliance requirements Monitor and support adherence to the laboratory's annual operating budget Oversee inventory management, including ordering, receiving, and tracking supplies and consumables Collaborate with Finance on purchasing processes and vendor coordination, including negotiating terms where appropriate Identify and implement improvements to existing invoicing and financial workflows Assist in the preparation and review of expense reports Participate in continuous improvement initiatives to enhance operational efficiency Sample Reception Support Serve as a specialist for designated high-priority workflows within sample reception Provide backup support for general sample reception functions as needed Perform additional duties as assigned Minimum Qualifications High school diploma or equivalent required 3+ years of experience with Microsoft Office Suite, including strong Excel skills 3+ years of bookkeeping, accounting, or financial operations experience Experience working with ERP systems (Dynamics, Business Central, SAP, Oracle, or similar) preferred Experience with LIMS or similar laboratory systems preferred Strong attention to detail and exceptional organizational skills Ability to manage multiple priorities and large datasets with a high degree of accuracy Comfortable working in a scientific or laboratory environment Preferred Qualifications Knowledge of
ISO17025
