Job Description

Job Overview Greenway Vault LLC is seeking a motivated, detail-oriented Shipping & Intake Specialist to join our growing in-person team at our North Scottsdale office. This is a full-time, hands-on role that serves as the operational backbone of our live auction business. The ideal candidate takes pride in accuracy, works efficiently in a fast-paced environment, and is comfortable managing multiple responsibilities simultaneously. You will be an essential part of the day-to-day fulfillment and intake operations that keep our WhatNot live auctions, Shopify store, and eBay listings running smoothly. Key Responsibilities The Shipping & Intake Specialist will be responsible for, but not limited to, the following: Shipping & Order Fulfillment Intake and process all live auction sales from WhatNot shows and other selling platforms promptly and accurately Scan and log all sold items into the company's online order management system Apply shipping labels, verify addresses, and prepare packages for daily carrier pickup Maintain a high standard of packaging quality to ensure cards arrive safely and in the condition sold Process and track outgoing shipments through shipping platforms such as Pirateship, eBay labels, or similar company software Monitor order queues to ensure all sales are fulfilled within expected timeframes Customer Communication Monitor and respond to buyer messages on WhatNot in a professional, timely, and friendly manner Assist with resolving basic order inquiries, shipping delays, and customer concerns, escalating when necessary Communicate any shipment issues, order discrepancies, or buyer disputes to the appropriate team member Inventory & Purchase Order Intake Receive, sort, and process incoming purchase orders and new inventory arriving at the office Sort incoming cards by condition: raw cards into penny sleeves and sleeved/graded cards into their appropriate categories Create batches in the company's inventory management system and generate labels for new inventory Scan cards into the system, ensure accurate labeling, and stage inventory for upcoming live shows Maintain organized, clearly labeled inventory sections so cards can be easily located for live streaming Supplies & Area Maintenance Monitor and manage shipping supply inventory including bubble mailers, envelopes, tape, toploaders, penny sleeves, and team bags Proactively reorder shipping supplies before stock runs low to prevent fulfillment delays Keep the shipping and intake area clean, organized, and free of clutter at all times Perform general upkeep and light maintenance of the workspace to ensure an efficient and professional environment Suggest improvements to workflow, organization, or supply management as the business grows Qualifications & Requirements Required Strong attention to detail and accuracy — especially when scanning, labeling, and packaging orders Ability to work independently and stay on task without constant supervision Comfortable working in a physically active role that may involve standing, sorting, and packaging for extended periods Basic computer and smartphone proficiency — ability to navigate online software, email, and messaging platforms Reliable and punctual with a consistent Monday-Friday availability Strong organizational skills and the ability to manage multiple tasks in a fast-paced setting Team-oriented attitude and the ability to communicate clearly with colleagues and leadership Preferred (Not Required) Prior experience in shipping, fulfillment, warehouse operations, or e-commerce order management Familiarity with platforms such as WhatNot, eBay, Shopify, Pirateship, or similar tools Knowledge of or personal interest in Pokémon trading cards or the trading card hobby in general Experience with inventory management systems or scanning/barcode workflows
Compensation & Benefits Hourly Rate:
$17.00 - $20.00 per hour, depending on experience and qualifications
Employment Classification:
Full-Time (W2 or 1099 — To Be Determined by Company Leadership)
Schedule:
Monday through Friday, 40 hours per week
Location:
