Position Summary We are seeking a Fulfillment Specialist to work with our internal shipping and QC team. Our ideal candidate will communicate regularly with each department to address their shipping needs, keep track of all inbound/outbound shipments, manage inventory, and ensure accurate orders are sent out in a timely fashion to our clients and customers. This is a non-supervisory position. Key Responsibilities Communicates with production planner, sales team, administration and fulfillment manager regarding shipments. Updates and maintains all the Shipping Log sections (Fulfilled, Received, E-Commerce, etc.) Processes Wholesale and E-Commerce Orders. Maintains a well-organized office and intuitive filing system. All shipping paperwork, gold accountability forms and dockets will be handled and filed by this position. Monitors and replenishes stock of necessary shipping supplies. Creates, edits, and maintains fulfillment department documents and forms. (SOP creation, improvements to older forms, etc.) Resolve shipment issues such as non-deliveries, re-routings, customs hang-ups, incorrect shipments, etc. Research and obtain freight quotes for large shipments. Performs a receiving inspection of new pallets of film and other materials. Works with marketing/sales team to update ShipStation forms, labels, etc. Creates commercial invoices for specific international shipments. Monitors shipment values to not send out product that exceeds our insurance limits. Conduct routine inventory audits and perform reconciliation required to maintain inventory accuracy. Documents and tracks incoming and outgoing shipments of outside vendors, including notes/rolls sent vs notes/rolls returned. Provides guidance to QC team members for packing and shipment instructions. Ensures any specific customer shipping requests are completed, such as breaking shipments into regions, including PO #'s, and creating customer specific packing lists, etc. Assists Fulfillment Supervisor in performing quarterly inventory reconciliation and overstock shipments to customers. Occasionally assists Quality Control department. Suggest workflow and process improvements. Performs other tasks as assigned Required Qualifications Excellent written and verbal communication skills Must demonstrate strong analytical thinking skills. Should possess strong problem-solving skills and the ability to make sound judgment calls. Superior organizational and time management skills Knowledge of Fed-Ex, USPS, and UPS processes and shipment requirements. Able to manage multiple projects and deliverables at a given time. Highly proficient with Excel, Word, ShipStation and Outlook Can work independently and collaboratively in a team environment. Preferred Qualifications Experience with managing multiple accounts with specific shipping guidelines. International Shipment and Customs Experience Experience with project management software (Basecamp or similar) Background in production, shipping, or inventory control. Interested in art, photography, and/or precious metals industry.
