SCOPE OF WORK
Handle the receiving of goods at Lummi Campus and recording actual quantities received and comparing these quantities to the bills of lading and the Purchase Orders. Distribution of goods received to proper individuals and departments at the Lummi Campus. Overseeing the inventories of goods and equipment, furniture, and other fixed assets across departments when authorized by the Finance Manager or CFO (annually or more frequently). Disposal and sale of fixed assets as authorized by the Comptroller. Maintaining a log of fixed assets, as well as a current list indicating the location of these assets. Any complications or conflicts arising in determining priorities of work would be resolved at the discretion of the Finance Manager.
DUTIES AND RESPONSIBILITIES
1. Log in the quantities received as shipments are received on the bills of lading or Receiving Report. 2. Checking quantities received against the Purchase Orders for back orders and incorrect quantities shipped. 3. Verifying that goods are not damaged and completing the needed paperwork with shippers on damaged goods, including obtaining necessary signatures from drivers. 4. Following up with shippers on damage claims to verify that shippers have correctly processed claims on a timely basis. 5. Contacting departments to clear up any questions on shipments before signing off on the shipments. Noting who in the departments approved receipt of goods when questions arise. 6. Returning damaged goods, either by not accepting them upon delivery or returning them to vendors. Noting quantities returned on the Purchase Orders. 7. Reporting any irregularities in shipments or in receiving and stocking procedures to the Purchasing Manager. 8. Receive and deliver student mail. 9. Inventory furniture, equipment, and other fixed assets annually at June 30th or more frequently. 10. Preparing a listing of fixed assets by location and by tag number, accounting for missing tag numbers. Updating this listing for additions and dispositions of assets as they occur and by date, indicating the tag numbers assigned and attached to these assets. Indicating on the listing any Grant and Grant# to which the fixed asset is assigned. 11. Tagging fixed assets when received and determining whether tied to Grant. 12. Coordinating disposal of fixed assets (costing $5,000 or more) with the grant supervisor so that funds can be segregated and returned to the granting agency. 13. Invoice and packing slips forwarded to Accounts Payable.

There are no supervisory responsibilities for this position.
QUALIFICATIONS REQUIRED
to perform this position successfully:
Minimum Qualifications:
High school graduate or GED certificate. Must be able to perform duties with little supervision. Strong interpersonal skills that focus on a high level of customer service .
Preferred Qualifications:
Experience with and sensitivity to Native American people and cultural customs. 2 years full-time experience that is directly related or similar job responsibilities required as a Receiving Clerk.
