Job Summary The Fleet Operations & Distribution Center Manager is responsible for end-to-end logistics execution at the Moline distribution center while providing corporate fleet oversight and DOT compliance across multiple operating companies. This role ensures safe, compliant, and efficient warehouse/distribution performance, reliable transportation assets, accurate inventory controls, and audit-ready ISO/DOT documentation. The position leads frontline teams, partners cross-functionally with warehouse/production/transportation leadership, and drives continuous improvement to deliver on service, cost, and safety goals.
Key Responsibilities Operations Coordination:
Coordinate production and distribution scheduling and serve as the communication link between the driver manager, warehouse manager, inventory, and production teams to keep orders moving and service levels high.
Inventory & VMI Controls:
Maintain accurate inventory counts, support Vendor Managed Inventory (VMI) programs, and drive cycle count and accuracy initiatives to reduce variances and improve replenishment reliability.
Facility & Equipment Maintenance:
Oversee DC equipment upkeep; coordinate preventative maintenance schedules, repairs, and vendor support to minimize downtime and protect asset condition.
Fleet Maintenance & Reliability:
Maintain fleet maintenance records; coordinate preventative maintenance, repairs, and DOT inspections for trucks and trailers; troubleshoot downtime and work with vendors, drivers, and maintenance providers to restore service quickly.
DOT/Regulatory Compliance:
Ensure DOT compliance for all fleet assets including registrations, permits, licensing, IFTA reporting, HVUT filings, and audit documentation; coordinate DMV renewals, titles, and related documentation for multiple operating companies.
Fleet Technology & Systems:
Administer and optimize fleet technology tools (e.g., Whip Around, Samsara cameras, GPS tracking, inspection and compliance platforms); ensure consistent adoption, data quality, and follow-through on defects and coaching items.
Safety, Training & Incident Response:
Promote and maintain a safe, organized, accident-free workplace; support CDL driver onboarding, Hazmat training, and safety programs; review camera footage as needed, investigate incidents, document findings, and communicate corrective actions to leadership.
ISO & Audit Readiness:
Maintain organized ISO and DOT records; ensure accurate reporting, documentation, samples, and audit-ready files to support internal audits, compliance reviews, and external inspections.
Cost Control & Continuous Improvement:
Review maintenance/repair invoices for accuracy and vendor accountability; partner with management to improve processes, resolve operational issues, control costs, and enhance customer satisfaction across distribution and fleet operations. Success Measures (Examples) Distribution center productivity, labor efficiency, and on-time order execution Inventory accuracy, VMI performance, and reduced variances Fleet uptime, preventative maintenance completion, and reduced road/service failures DOT/IFTA/HVUT/registration compliance and audit results Safety performance (incidents, near-misses, coaching completion) and ISO audit readiness Maintenance cost control, vendor performance, and documented continuous improvement wins Qualifications 3+ years of experience in fleet, transportation, warehouse, or distribution operations Knowledge of DOT regulations, FMCSA compliance, IFTA, registrations, and fleet documentation Experience managing fleet maintenance, inspections, and preventative maintenance schedules Familiarity with Samsara, Whip Around, GPS tracking, or similar fleet management systems preferred Strong leadership, communication, and team management skills Ability to manage multiple priorities in a fast-paced operational environment Strong organizational and problem-solving abilities with attention to detail Experience with ISO compliance, safety programs, and audit documentation preferred Proficient in Microsoft Office, including Excel and Outlook Valid driver's license required Join us at Rilco where your leadership will directly impact our operational excellence!
