Job Title:
Mail Services SupervisorJob Description The Mail Services Supervisor oversees all aspects of mailroom operations for a building or campus. This role ensures accurate and timely processing of mail, supports office and conference room functions, and maintains essential office supplies. The position runs Monday through Friday from 8:00 a.m. to 5:00 p.m. and is an on-site role in Austin. It is a 2‑month assignment providing coverage for an employee on leave, with the possibility of extension. Responsibilities + Supervise day-to-day mailroom operations for a building or campus, ensuring services run smoothly and efficiently. + Handle mail processing, including printing, sorting, and stuffing of mail in accordance with established procedures. + Oversee the accurate and timely distribution and collection of incoming and outgoing mail. + Set up and reset conference rooms, ensuring they are properly arranged and equipped for meetings. + Monitor and replenish office supplies, maintaining appropriate inventory levels and coordinating restocking as needed. + Provide customer service to internal stakeholders, responding promptly to mailroom and office service requests. + Ensure adherence to mailroom policies, procedures, and service standards. + Perform general administrative tasks to support office and mailroom operations as needed. + Collaborate with colleagues and other departments to resolve issues related to mail services and office support. + Maintain a clean, organized, and safe mailroom and office services area. Essential Skills + At least 2 years of experience in mailroom, office services, or a related operational support role. + Proven supervisory skills with the ability to oversee daily activities and support team performance. + Strong management skills to coordinate tasks, prioritize workload, and meet service deadlines. + Demonstrated customer service skills with a professional and responsive approach. + Ability to perform mail processing tasks, including printing, sorting, and stuffing of mail. + Capability to set up and reset conference rooms in line with meeting requirements. + Experience monitoring and replenishing office supplies and maintaining inventory. + Basic computer skills, including the ability to use standard office software and perform basic computer functions. + High school diploma or GED. Additional Skills & Qualifications + Experience supervising mailroom or office and soft services within a large building or campus environment. + Familiarity with office services processes, including conference room support and general administrative tasks. + Strong organizational skills and attention to detail when handling mail and office supplies. + Effective communication skills to interact with internal clients and team members. + Ability to adapt to changing priorities in a fast-paced office environment. + Comfort with participating in an in-person and/or virtual interview process. Work Environment This is an on-site role based in Austin within an office and soft services environment. The position follows a standard schedule of Monday through Friday, 8:00 a.m. to 5:00 p.m. Work is primarily performed in a mailroom and office setting, involving regular interaction with office staff and use of basic computer systems and office equipment such as printers and mailing equipment. The assignment is expected to last approximately 2 months to cover an employee on leave, with the potential for extension depending on business needs. The work environment emphasizes reliability, professionalism, and consistent service delivery in support of building and campus operations. Appropriate professional office attire is expected. Job Type & Location This is a Contract position based out of Austin, TX. Pay and Benefits The pay range for this position is $21.00 - $23.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
