Overview We are seeking a dedicated Medical Assistant/Materials Manager Assistant to support clinical operations and manage medical supplies within our surgery center. This vital role combines patient care assistance with inventory management, ensuring smooth workflow and optimal resource utilization. The ideal candidate will possess a strong background in medical support functions, with experience in outpatient and hospital settings, including trauma centers and specialty clinics. Position Summary The Materials Management Assistant is responsible for supporting the Materials Manager and OR Manager in maintaining efficient inventory control, supply management, regulatory compliance, and operational support within the surgery center. This position plays a critical role in ensuring the timely ordering, receipt, tracking, stocking, and monitoring of medical supplies, implants, equipment, and facility-related inventory. Healthcare experience, preferably in an ambulatory surgery center, hospital, or clinical setting, is strongly preferred. Essential Duties and Responsibilities Inventory and Supply Management Assist with daily inventory management and supply chain operations. Receive, inspect, and log all incoming orders and deliveries. Verify received items against purchase orders and packing slips. Maintain accurate inventory logs and supply tracking systems. Stock supplies in designated locations and ensure proper inventory rotation. Monitor inventory levels and notify management of low-stock items. Assist with ordering medical supplies, implants, office supplies, and equipment. Maintain organized storage areas and supply rooms. Assist with periodic inventory counts and reconciliation. Implant and Equipment Tracking Maintain implant logs and tracking records in accordance with regulatory requirements. Ensure implant documentation is complete, accurate, and readily accessible. Track product expiration dates and remove expired items from inventory. Assist with equipment inventory and preventive maintenance tracking. Regulatory Compliance and Life Safety Maintain life safety logs and required facility compliance documentation. Assist with monthly, quarterly, and annual life safety inspections and reports. Ensure regulatory logs and records are current and audit-ready. Support compliance with accreditation, CMS, OSHA, AAAHC, and other regulatory standards. Quality and Safety Support Assist with quality assurance, performance improvement, and patient safety initiatives. Compile data and prepare reports related to quality, safety, infection prevention, and facility operations. Assist in gathering documentation for surveys, inspections, and accreditation activities. Maintain records required for quality improvement programs. Administrative and Operational Support Provide administrative support to the Materials Manager and OR Manager. Assist with special projects and operational initiatives as assigned. Maintain accurate records and filing systems. Coordinate with vendors regarding orders, deliveries, and product issues. Participate in department meetings and staff training activities. Qualifications Required High school diploma or equivalent. Strong organizational and time management skills. Proficiency with Microsoft Office, including Excel, Word, and Outlook. Ability to manage multiple priorities in a fast-paced environment. Strong attention to detail and accuracy. Excellent communication and customer service skills. Preferred Minimum of one (1) year of healthcare, hospital, ambulatory surgery center, or clinical experience. Experience with medical supply inventory management and purchasing. Knowledge of implant tracking and regulatory requirements. Familiarity with accreditation standards and life safety documentation. Experience with inventory management software and electronic tracking systems. Physical Requirements Ability to lift and move supplies weighing up to 50 pounds. Ability to stand, walk, bend, and reach for extended periods. Ability to transport inventory and supplies throughout the facility. Work Environment This position works in a healthcare environment and may have exposure to patient care areas, medical equipment, and surgical supplies. The individual must maintain confidentiality and comply with all facility policies, safety standards, and regulatory requirements. The Medical Assistant/ Materials Management Assistant performs other duties as assigned to support the operational needs of the surgery center.
