Full Job Description Position Summary:
The Facilities & Logistics Manager is responsible for overseeing all operational and logistical aspects of BayPLS Offices. This role manages facility operations, supervises onsite staff, maintains inventory control systems, ensures proper maintenance of the company fleet, and coordinates/manages logistics scheduling. The Facilities & Logistics Operations Manager works closely with Operations, Finance, and Clinical teams to ensure the efficient and compliant flow of supplies, resources, and personnel across all BayPLS locations and event sites.
Essential Duties and Responsibilities:
Oversee day-to-day operations of the San Bruno office, ensuring a safe, clean, and compliant work environment. Supervise administrative and support staff working onsite, ensuring schedules are followed and performance standards are met. Coordinate facility maintenance, repairs, and vendor relationships. Manage office and medical inventory, supplies, and equipment to ensure appropriate stock levels and timely replenishment. Ensure compliance with safety, health, and regulatory standards for office and storage spaces. Schedule and manage the logistics team responsible for kit building, transporting staff, supplies, and equipment. Oversee maintenance, inspection, and registration of company fleet vehicles. Coordinate routing and scheduling to optimize efficiency, reduce costs, and ensure timely service delivery. Develop and implement logistics plans for the procurement, storage, distribution, and disposal of medical supplies and equipment. Maintain accurate documentation for fleet activity, inventory records, and supply chain tracking. Manage the receipt, inspection, and storage of incoming medical shipments and office supplies. Monitor inventory levels and conduct regular audits to minimize shortages or overstock. Collaborate with Finance to select and evaluate vendors, negotiate pricing, and manage purchasing processes. Work closely with field and clinical teams to forecast supply needs and support operational readiness. Lead, train, and evaluate staff to ensure operational excellence and adherence to company standards. Serve as the point of contact for all BayPLS site operations, providing updates to senior leadership. Support cross-departmental coordination to ensure smooth communication and workflow between clinical, logistics, and administrative teams.
Qualifications:
Bachelor's degree in logistics, business administration, or related field preferred (equivalent experience considered). 3-5 years of experience in logistics, facilities, or operations management, preferably in a healthcare setting. Proven supervisory experience managing multi-functional teams. Strong understanding of supply chain management, fleet operations, and facility compliance requirements. Proficiency in Airtable, Google Suite, and Microsoft.. Excellent organizational, analytical, and communication skills. Ability to prioritize and manage multiple projects in a fast-paced environment. Knowledge of OSHA, DOT, and healthcare logistics regulations preferred.
Physical Requirements:
Ability to stand or sit for extended periods and lift up to 40 lbs as needed. Frequent use of computer and phone systems. Occasional driving of company vehicles for inspections, deliveries, or errands.
Pay:
$69,000.00 - $75,000.00 per year
