Job Description

Holy Spirit Retirement Home | Sioux City, IA Faith-based | Locally owned | Compassion-driven care Holy Spirit Retirement Home is Siouxland's only locally owned, faith-based senior care facility. We provide skilled nursing, assisted living, independent living, and long-term care services—and we are currently seeking a highly organized, proactive, and dependable Healthcare Transportation Coordinator to oversee resident transportation scheduling and daily transportation operations. This role is essential to ensuring residents safely and efficiently attend medical appointments, procedures, therapies, and community outings. The Healthcare Transportation Coordinator serves as the central communication hub for transportation services by managing schedules, dispatching drivers, coordinating appointments, troubleshooting daily logistics, and maintaining strong relationships with healthcare providers and clinics throughout the community. The ideal candidate thrives in a fast-paced environment, remains calm under pressure, communicates professionally, and can quickly adapt to changing schedules and operational needs. If hired, orientation and onboarding will include a multi-day process involving training, physical testing, and department tours. The schedule for this process is Tue-Fri 9:00am-5:00pm. Required Before Employment Begins:
All job offers are contingent upon passing a background check Physical exam, drug screen, TB test, and background check Key Responsibilities Manage daily transportation schedules for residents across skilled nursing, assisted living, and independent living services Coordinate and maintain long-term appointment schedules including 30-, 60-, and 90-day follow-up visits Verify medical appointments with physician offices, clinics, hospitals, and specialty providers Dispatch transportation drivers throughout the day and communicate scheduling updates, delays, route changes, and special instructions Monitor daily transportation flow and proactively resolve scheduling conflicts or operational challenges Ensure transportation schedules are realistic and feasible based on driver availability and appointment timing Work closely with leadership to arrange backup transportation coverage when drivers are unavailable Respond quickly and professionally to emergencies, cancellations, weather delays, or last-minute appointment changes Communicate effectively with residents, families, nursing staff, medical offices, and transportation personnel Maintain accurate scheduling records, transportation logs, appointment documentation, and communication notes Represent Holy Spirit Retirement Home professionally when interacting with healthcare providers and community partners Support process improvements and operational efficiency within the transportation department Maintain confidentiality and compliance with HIPAA and resident privacy standards Provide exceptional customer service while supporting residents in a compassionate and respectful manner Required Qualifications & Competencies High school diploma or equivalent required Previous scheduling, dispatching, healthcare coordination, administrative, or transportation experience preferred Strong organizational and multitasking abilities in a fast-paced environment Excellent verbal and written communication skills Strong problem-solving and critical-thinking abilities Ability to remain calm, professional, and solution-focused under pressure Strong customer service and interpersonal communication skills Ability to adapt quickly to changing priorities and scheduling demands Proficiency with Microsoft Office, scheduling systems, and general computer applications Ability to work independently while collaborating effectively with multiple departments Ability to handle confidential information with professionalism and discretionPreferred Qualifications Experience in healthcare, senior living, long-term care, or medical scheduling environments Previous dispatching or transportation coordination experience Experience working with medical offices, clinics, or appointment scheduling systems Strong operational coordination and logistics mindset Experience handling high-volume scheduling and communication responsibilities This is a high-impact operational role responsible for helping residents safely access healthcare services while ensuring transportation operations run smoothly and efficiently each day.
