Responsible for ensuring all fleet assets are compliant, properly maintained, and operationally ready. Accountable for preventative maintenance programs, regulatory compliance, telematics performance, fuel management, capital planning, and lifecycle management. Partners with Fleet leadership, Operations, Finance, and Safety to align fleet strategy with business objectives. Job Duties and Responsibilities Provide outstanding customer service and maintain a professional environment. Ensure full compliance with DOT, FMCSA, EPA, and OSHA regulations; maintain audit readiness and ensure 100% completion of annual inspections and preventative maintenance requirements. Perform and oversee equipment check-in and check-out inspections; conduct quarterly field equipment safety inspections. Ensure all fleet assets are compliant, properly maintained, and operational; conduct root cause analysis on repeat equipment failures to eliminate preventable downtime. Maintain a minimum of 98% telematics reporting uptime across all assets; conduct weekly telematics health reviews and address non-reporting units immediately. Monitor fuel card activity weekly, identify usage anomalies, track MPG trends, and report cost per mile and cost per operating hour; escalate suspected misuse and bring forward recommendations to Operations regarding idling costs and fuel spend. Review asset utilization weekly; identify and reallocate underutilized assets, prevent equipment hoarding, and ensure alignment with enterprise demand. Manage preventive and predictive maintenance programs to maximize vehicle life and minimize downtime; track repairs, warranty claims, and parts inventory. Support lifecycle replacement schedules based on total cost of ownership, utilization rates, depreciation curves, and repair costs; execute remarketing and disposal strategies to maximize residual value. Prepare formal capital request business cases outlining revenue impact, contract validation, utilization forecasts, ROI analysis, payback period, cost per operating hour comparisons, and alternative analysis. Maintain a rolling 24-month equipment forecast aligned with business unit growth projections. Update dashboards and reports in Excel and Power BI, using pivot tables, to highlight fleet performance trends, high-cost units, and underutilized assets; present findings and recommendations to operations and finance leadership. Serve as primary liaison with fleet vendors on warranties, and service agreements. Deploy and manage telematics systems; leverage Microsoft 365 for analytics and fleet performance reporting. Manage logistics to support the utility supply chain, ensuring on-time delivery of assets and parts. Follow playbooks, best practices, and SOPs for all fleet and logistics operations. Handle documentation related to accidents, repairs, insurance claims, vehicle registrations, licenses, and inspections. Lead and support mechanics and fleet coordinators in adherence to fleet maintenance standards, DOT inspection accuracy, and documentation integrity. Other duties as assigned or added at management discretion. Requirements High School Diploma or equivalent is required. Associate or Bachelor's Degree in Business, Logistics, or a related field is preferred. 2+ years of hands-on fleet management experience with large, complex fleets (300+ vehicles preferred). Knowledge of medium duty to heavy duty truck equipment required. Experience with
DOT/FMCSA
compliance in highly regulated environments required. Previous experience with Fleet Logistics/GPS/telematics systems required. Knowledge of the power utility, construction, or vegetation management industries strongly preferred. Proficiency with Microsoft Office Suite, including advanced Excel and Power BI. Financial acumen with experience interpreting and managing budgets, P&L statements, and capital planning. Strong negotiation skills and experience managing OEM and vendor relationships. Service oriented and displays a positive attitude. Interested in learning, is technically savvy, flexible, and coachable. Able to consistently act with integrity and credibility by adhering to and enforcing the company code of conduct. Ability to follow up and complete tasks in a timely manner. Working Conditions Work is performed in both an office environment and in the field, requiring the ability to operate standard office equipment and keyboards. Requires the ability to walk shop floors, climb in and out of heavy equipment, and lift or move objects up to 100 pounds. Substantial movements of the hands, wrists, and/or fingers. Required to have close visual acuity to perform activities such as preparing and analyzing data and figures or viewing a computer screen. Travel up to 25% of the time may be required.
