Transportation is a critical access point to programs, enrichment, appointments, and community opportunities. The Transportation Coordinator ensures safe, reliable, and efficient transportation operations while serving as the primary communication bridge between drivers, program staff, youth, caregivers/guardians, and external partners. This role protects both operational excellence and family trust. Scheduling & Route Planning Develop weekly and monthly transportation schedules. Post and confirm shifts in the designated scheduling system. Optimize routes for safety, timeliness, and efficiency. Adjust schedules in response to youth changes, disruptions, or program shifts. Real-Time Dispatch & Communication Serve as a central point of contact during active transport windows. Monitor route execution and respond to delays, incidents, or no-shows. Coordinate backup drivers when needed. Communicate proactively with program staff regarding transportation updates. Escalate emergencies according to protocol. Guardian & Stakeholder Communication (NEW - Elevated Responsibility) The Transportation Coordinator serves as the primary liaison for transportation-related communication with caregivers and key stakeholders.
Responsibilities include:
Confirming transportation schedules and updates with guardians. Communicating delays, cancellations, or route changes promptly and professionally. Responding to caregiver concerns related to pick-up/drop-off timing or safety. Maintaining accurate emergency contact records. Ensuring clear expectations around arrival windows and procedures. Supporting documentation of communication where required. Coordinating transportation logistics with external stakeholders (schools, program partners, event venues, community sites). Reinforcing youth safety protocols with caregivers when needed. This role must balance warmth and professionalism while protecting youth confidentiality and organizational standards. Driver Oversight & Management Recruit and onboard On-Call and Lead Drivers. Ensure completion of background checks and insurance requirements. Monitor attendance, punctuality, and reliability. Provide feedback and coaching in partnership with Operations leadership. Track documentation and timekeeping compliance. Safety & Compliance Ensure compliance with youth protection standards. Maintain driver qualification files. Monitor pre-trip and post-trip inspection documentation. Oversee incident reporting processes. Ensure cancellation minimums and weekly guarantees are applied accurately. Fleet Management Track maintenance schedules and vehicle service. Coordinate repairs and inspections. Maintain vehicle readiness and safety standards. Payroll & Compensation Oversight Verify driver hours. Apply $150weeklyminimumguarantees when applicable. Apply 2-hour cancellation minimums per policy. Coordinate with payroll for accurate processing. Data & Continuous Improvement Track transportation metrics: On-time performance Guardian satisfaction Cancellation frequency Cost per route Incident rates Identify trends impacting reliability or family experience. Recommend operational improvements. Qualifications 3+ years of experience in logistics, dispatch, operations, or transportation coordination Experience communicating with families or external stakeholders strongly preferred Strong written and verbal communication skills Ability to remain calm and solutions-focused under pressure High organizational discipline Proficiency in scheduling and payroll systems Background check, driving record check, and drug screen clearance required Core Competencies Operational precision Relationship management Conflict resolution Clear communicator Systems thinker High accountability Youth safety mindset Expanded Success Metrics (First 12 Months) 95%+ on-time route performance Reduced last-minute guardian complaints High caregiver satisfaction with communication Clean compliance and documentation audits Improved driver reliability and retention Compensation and Benefits The pay for this position is $24.50/hour and is expected to be $50,960 annually at 40 hours per week.
