As the parent company of two award-winning Harrisburg based marketing agencies~ Latino Connection and PPO&S, Color & Culture is committed to helping public and private organizations respond to the seismic market demographic shift with a more powerful reach through dynamic community outreach events and experiences, statewide strategic marketing communications campaigns, and a blending of services to fit most needs. We are seeking an energetic and detail-oriented Fleet Manager to lead our transportation operations and optimize our vehicle and logistics management.
JOB OVERVIEW
The Fleet Manager is responsible for overseeing the operations, maintenance, and administration of the agency's fleet of vehicles. This role involves managing vehicle acquisition, maintenance schedules, fuel consumption, driver safety, and regulatory compliance. The Fleet Manager plays a crucial role in optimizing fleet performance, controlling costs, and ensuring the efficient and safe operation of vehicles.
PRIMARY RESPONSIBILITIES
Develop and implement policies, procedures, and guidelines for the operation and maintenance of the organization's fleet of vehicles. Coordinate vehicle acquisition, leasing, and disposal activities, including sourcing suppliers, negotiating contracts, and ensuring compliance with procurement policies. Maintain accurate records of vehicle inventory, maintenance history, registration, licensing, and insurance documentation.
Maintenance and Repairs:
Establish preventive maintenance schedules and inspection protocols to ensure the safety, reliability, and longevity of fleet vehicles. Coordinate routine maintenance, repairs, and inspections with internal maintenance staff or external service providers. Monitor vehicle downtime, repair costs, and maintenance expenses to identify trends, inefficiencies, and opportunities for improvement.
Fuel Management:
Monitor fuel consumption, fueling transactions, and fuel costs to identify trends, deviations, and opportunities for cost savings. Implement fuel efficiency initiatives, such as driver training, route optimization, and vehicle maintenance programs, to reduce fuel consumption and greenhouse gas emissions. Manage fuel card programs, fueling stations, and fuel inventory to ensure availability and compliance with fueling policies and regulations.
Driver Safety and Training:
Develop and implement driver safety policies, training programs, and performance metrics to promote safe driving practices and reduce accidents, injuries, and liabilities. Monitor driver behavior, vehicle telematics data, and incident reports to identify high-risk behaviors and areas for improvement. Conduct regular driver training sessions on defensive driving techniques, accident prevention, and regulatory compliance.
Regulatory Compliance:
Ensure compliance with federal, state, and local regulations governing vehicle operations, environmental protection, and occupational safety. Maintain up-to-date knowledge of regulatory requirements, industry standards, and best practices related to fleet management. Prepare and submit regulatory reports, permits, and certifications as required by regulatory agencies.
Budgeting and Cost Control:
Develop and manage the fleet budget, including forecasting expenses, tracking costs, and identifying opportunities to reduce operating expenses. Analyze financial data, variance reports, and key performance indicators to assess fleet performance and make data-driven decisions. Negotiate favorable terms with suppliers, vendors, and service providers to control costs and maximize value.
REQUIRED EXPERIENCE
Bachelor's degree in business administration, logistics, transportation management, or a related field preferred, but not required. Professional certifications in fleet management (e.g., Certified Automotive Fleet Manager) may be advantageous. Proven experience (typically 5-7 years) in fleet management, logistics, or transportation operations, with a track record of success in optimizing fleet performance and controlling costs. Strong knowledge of fleet management principles, practices, and technologies, including fleet maintenance software, telematics systems, and fuel management systems. Excellent organizational, analytical, and problem-solving skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines in a fast-paced environment. Effective communication and interpersonal skills, with the ability to collaborate with internal teams, external partners, and regulatory agencies. Proficiency in computer software applications, including Microsoft Office Suite and fleet management software. Valid Driver's License required.
