Maintenance and Transportation Coordinator Smith Industries, LLC Midland, TX Job Details Full-time 6 hours ago Qualifications Vendor relationship building Full Job Description We are looking for a detail-oriented and organized Maintenance and Transportation Coordinator to join our team. In this role, you will be the operational backbone of our mechanical department — managing preventive maintenance schedules, asset records, parts procurement, and vendor relationships while upholding our strong commitment to safety. Key Responsibilities Follow all safety policies and procedures, wear required PPE, report all incidents immediately, and exercise stop-work authority when work cannot be performed safely Maintain preventive maintenance (PM) schedules for all company assets and order required filters, parts, materials, and fluids Enter, update, and maintain accurate asset data, work orders, PM records, and inspection information in Eptura Track and coordinate PM services performed by third-party vendors, including approvals and scheduling Document new asset inspections, assign asset numbers, add assets to insurance, and upload records to Eptura Collect, scan, and file daily inspection forms for cranes, vehicles, trailers, forklifts, lifts, and related equipment Maintain PM-controlled forms and inspection binders for cranes, decoilers, air compressors, vehicles, semis, and trailers Maintain CDL driver inspection, registration, and insurance binders and ensure documents are distributed as required Organize, stock, and maintain on-hand inventory in the mechanic shop and handle emergency parts requests Review repair and parts request forms daily and update work orders upon approval Process purchasing activities including collecting quotes, obtaining approvals, creating requisitions, and issuing purchase orders Receive parts and invoices, verify accuracy, scan and archive invoices, and track expenses in Excel Support Transportation, Utilities, and Legacy teams with load sheets, BOLs, audits, and shipment tracking Maintain professional relationships with vendors and assist with adding new suppliers to the Approved Supplier List What We're Looking For Strong organizational skills with the ability to manage multiple priorities simultaneously Experience with computerized maintenance management systems (CMMS) — Eptura experience a plus Proficiency in Microsoft Excel and general computer skills Excellent attention to detail for data entry, record keeping, and document management Experience coordinating with vendors and internal teams in a professional setting Knowledge of safety protocols and PPE requirements in an industrial environment Prior experience in a maintenance, mechanical, or operations support role preferred Familiarity with purchasing processes, PO creation, and invoice management
