Full Job Description Job Summary:
The Fleet Assistant is responsible for managing and maintaining the company's fleet to ensure safe, efficient, and cost-effective operations. This role involves vehicle maintenance oversight, equipment stocking, documenting daily fleet activities, conducting fuel audits, and handling minor vehicle issues, including tire changes. The Fleet Assistant must also communicate effectively with Enterprise fleet representatives and local mechanics to negotiate repair costs. This position requires physical ability to lift equipment and perform hands-on vehicle maintenance as needed. ________________________________________Schedule:

1. Vehicle Maintenance & Inspection Schedule and oversee regular maintenance, including oil changes, tire rotations, and repairs. Conduct routine vehicle inspections to assess condition, identify damages, and ensure compliance with safety standards. Change tires as needed and perform minor repairs when necessary to minimize downtime. Document and report any required vehicle repairs or damages. Work with local mechanics and service providers to ensure timely and cost-effective maintenance. 2. Equipment Stocking & Inventory Management Ensure vehicles are stocked with necessary tools, safety equipment, and company-issued materials. Track and manage fleet-related inventory and coordinate replenishment as needed. Monitor the condition of vehicle equipment and accessories. 3. Documentation & Reporting Maintain detailed and up-to-date records of fleet activities, including maintenance schedules, inspections, and servicing. Document daily vehicle visits, recording actions such as refueling, cleaning, oil changes, car washes, tire changes, and minor repairs. Keep accurate records of vehicle registrations, insurance, inspections, and maintenance history. Track vehicle mileage, fuel usage, and overall performance metrics. 4. Fuel Management & Audits Monitor and log daily fuel usage for each vehicle. Conduct monthly fuel audits to verify accurate fuel consumption and detect discrepancies. Identify and report any irregularities in fuel usage. Assist in implementing cost-effective fuel efficiency strategies. 5. Communication & Cost Negotiation Liaise with Enterprise fleet representatives to address vehicle issues, maintenance needs, and leasing concerns. Communicate with local mechanics and repair shops to negotiate costs and ensure budget-friendly repairs. Obtain multiple repair quotes when needed to optimize costs. Ensure vendors meet company standards for service quality and timeliness. 6. Scheduling & Coordination Assign vehicles to drivers based on operational needs and vehicle availability. Schedule vehicle servicing and maintenance to minimize operational disruptions. Collaborate with operations and logistics teams to ensure fleet efficiency. 7. Safety & Compliance Ensure compliance with company policies, safety regulations, and vehicle operational standards. Promote safe driving and vehicle handling practices among staff. Assist in investigating vehicle-related incidents, damages, and accidents, providing necessary documentation.Physical Requirements:
Ability to lift, carry, and move equipment up to 40 lbs. Must be physically able to change tires and perform hands-on maintenance tasks. Capable of working in various outdoor conditions, including extreme temperatures. ________________________________________Qualifications & Skills:
High school diploma or equivalent Prior experience in fleet management, vehicle maintenance, or logistics preferred. Strong organizational and problem-solving skills. Ability to effectively negotiate repair costs with service providers. Proficiency in fleet management software and Microsoft Office Suite. Excellent communication skills to coordinate with Enterprise fleet representatives, mechanics, and internal teams. Ability to work independently, multitask, and prioritize responsibilities. Knowledge of vehicle maintenance, fuel management, and safety regulations. Valid driver's license with a clean driving record. ________________________________________Working Conditions:
Field and office work required for vehicle inspections, refueling, and maintenance tracking. Frequent physical tasks, including lifting, tire changing, and equipment handling. Occasional travel to repair facilities and service providers. Work environment includes both indoor and outdoor settings, with potential exposure to varying weather conditions.Job Type:
