IES Residential, Inc. is seeking a detail-oriented and organized Fleet Administrator to support fleet operations, including vehicle procurement, maintenance, compliance, and reporting. This role works closely with division managers, vendors, accounting, and insurance partners to ensure efficient and compliant fleet management.
Key Responsibilities:
Coordinate new vehicle procurement, transfers, and disposals Maintain accurate fleet records in the IES System of Record Track vehicle inspections, mileage, fuel usage, GPS activity, and toll usage Manage vehicle registrations and titles Administer fuel cards and investigate fraud, misuse, or discrepancies Prepare and distribute fleet and fuel reports for management Communicate with vendors, insurance partners, and internal departments Monitor fleet inbox and respond to inquiries in a timely manner Support fleet-related projects and collaborate with the Fleet Manager Assist in maintaining compliance with company policies and regulatory requirements Perform other duties as assigned
Qualifications:
High school diploma or equivalent required Prior fleet administration or related experience preferred Strong organizational, multitasking, and attention-to-detail skills Excellent written and verbal communication skills Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and fleet management systems Ability to work collaboratively in a team environment Strong problem-solving skills and ability to prioritize workload Ability to pass a background screening
Physical Requirements & Work Environment:
Primarily office-based with extended periods of sitting or standing while working at a computer Ability to lift up to 25 pounds as needed Visual acuity for detailed computer work, reporting, and document review Manual dexterity to operate standard office equipment Fast-paced environment requiring multitasking, organization, and attention to detail Frequent interaction with internal teams, vendors, and external partners
