This position serves as the primary point of contact for fuel card administration, DOT compliance tracking, fleet-related purchasing activities, rental equipment coordination, and field support. Essential Duties and Responsibilities DOT Compliance Support
- Maintain DOT compliance records for drivers and fleet assets.
- Track driver qualification files, medical certificates, licenses, and compliance documentation.
- Assist with audits, inspections, and regulatory reporting requirements.
- Coordinate with operations and safety departments to ensure compliance deadlines are met.
- Maintain accurate electronic and physical compliance records. Fleet Support Center
- Serve as a primary point of contact for field personnel requiring fleet support.
- Answer incoming calls and respond to requests regarding vehicles, equipment, fuel cards, registrations, and fleet services.
- Route service requests to the appropriate fleet personnel or vendors.
- Assist employees with fleet-related questions and issue resolution.
- Maintain a high level of customer service while supporting multiple operating locations and job sites. Rental Equipment & Purchase Order Management
- Coordinate fleet and equipment rental requests with approved vendors.
- Create and manage rental purchase orders.
- Track rental utilization, costs, and billing accuracy.
- Ensure timely receipt and processing of rental invoices.
- Maintain rental records and support project-specific equipment needs. Fleet Administrative Support
- Process fleet-related invoices and vendor documentation.
- Maintain fleet databases and equipment records.
- Assist with vehicle registrations, titles, permits, and licensing requirements.
- Prepare reports and spreadsheets related to fleet operations and expenditures.
- Support fleet managers with special projects and departmental initiatives.
- Provide administrative support to fleet operations across multiple regions. Qualifications
- High school diploma or equivalent required; Associate's degree preferred.
- 3+ years of administrative experience, preferably in fleet, transportation, construction, or equipment management.
- Strong organizational and time-management skills.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Experience with fleet management software and fuel card platforms preferred.
- Knowledge of DOT regulations and compliance requirements preferred.
- Excellent communication and customer service skills.
