Job Description

Position Summary The Service Administrator plays a key support role within Colorado Golf & Turf's Service Department by assisting with warranty administration, fleet project coordination, and service operational support. This position is designed to help remove administrative and logistical responsibilities from the Director of Service & Parts so leadership can focus more heavily on technician oversight, training, scheduling, productivity, and customer experience. This is a hybrid role that combines office administration, operational coordination, and occasional hands-on field support during golf car fleet setup season. The ideal candidate is highly organized, detail-oriented, dependable, mechanically curious, and comfortable working in both office and field environments. Essential Duties & Responsibilities Warranty Administration Prepare, submit, track, and finalize warranty claims across multiple product lines and manufacturers Gather supporting documentation including technician notes, labor details, and photos Monitor claim status and follow up with manufacturers regarding approvals, denials, and reimbursement Maintain accurate warranty records and documentation Help ensure warranty recovery opportunities are not missed Fleet Project Coordination Coordinate golf car fleet setup projects for commercial and golf course customers Assist with scheduling manpower, timelines, delivery coordination, and project execution Communicate with internal teams, manufacturers, and customers regarding project logistics Help coordinate field setup operations during fleet installation season Assist with accessory installation and fleet preparation as needed Service Department Administrative Support Close work orders and assist with final processing Adjust flat rate labor times when necessary and approved Assist with service operational workflow and administrative tasks Maintain accurate records within company systems Support department organization and process improvement initiatives Perform other duties as assigned Work Environment & Schedule Primarily office-based position Standard schedule is generally Monday through Friday, 8:00am-5:00pm Seasonal overtime may be required during fleet setup season Occasional overnight travel required, primarily February through June Rare weekend work may occasionally be necessary during major fleet projects Physical Requirements Occasionally lift and carry up to 50 pounds Frequent sitting, computer work, and phone communication Occasional bending, kneeling, walking, and outdoor work during fleet setup projects Ability to work in varying weather conditions during field assignments Preferred Qualifications Prior experience in service administration, warranty coordination, project coordination, dealership operations, or related fields Strong organizational and communication skills High attention to detail and follow-through Comfortable learning technical product and warranty systems Mechanical aptitude preferred but not required Experience with Microsoft Office and dealership/service software preferred Valid driver's license with acceptable driving record Compensation & Benefits $28 per hour Health insurance Dental insurance HSA employer contributions Paid time off 401(k) employer match up to 4%
