Job Description
Position Summary The Fleet Administrator is a key administrative role responsible for overseeing and coordinating the company's non-DOT fleet of service - body trucks and construction vehicles. This position ensures accurate fleet records, regulatory compliance across multiple states, and effective tracking of vehicle usage, condition, and assignment. This role is strictly administrative in nature and does not involve vehicle maintenance, purchasing authority, or dispatch responsibilities. Key Responsibilities Fleet Administration & Asset Management Coordinate the intake and onboarding of new fleet vehicles, including documentation, registration, and system setup Maintain accurate fleet records, including vehicle assignments, locations, and status via fleet tracking systems and internal spreadsheets Assign and reassign vehicles to employees based on operational needs Coordinate vehicle transfers between branches and employees Ensure all vehicles maintain current registration and licensing through leasing companies and applicable agencies Partner with Safety and HR to ensure vehicles meet applicable state road compliance requirements (non-DOT regulated environment) Administer and monitor driver license pull programs (e.g., DMV Pull Notice in California) Utilize telematics and fleet management software to monitor: o Fuel usage o Mileage trends o Missed or upcoming service intervals Provide data-driven recommendations for: o Vehicle replacement due to end-of-life o Fleet expansion based on hiring trends and operational demand o Coordinate with leadership to support fleet scaling efforts Support the Safety Department with documentation related to vehicle accidents, damage, and incident reporting Assist in tracking corrective actions and maintaining incident records Issue and track fuel cards, insurance cards, and vehicle documentation Maintain an up-to-date fleet tracking log identifying vehicle location, assignment, and status at all times This position: Does not perform vehicle maintenance or repairs; Does not have purchasing authority; Does not dispatch vehicles or drivers QualificationsRequired 2+ years of administrative experience in fleet management, transportation coordination, or a related field Experience with fleet management systems and/or telematics platforms Strong data tracking, reporting, and organizational skills Proficiency in Microsoft Excel and Office Suite Ability to manage multiple priorities across a multi-location operation Experience in construction, refrigeration, or field service industries Familiarity with multi-state fleet compliance requirements Experience administering driver record monitoring programs Strong attention to detail and document control accuracy Analytical mindset with ability to interpret fleet data and trends Clear and professional communication with field employees and leadership Ability to maintain confidentiality and handle sensitive information Physical Requirements Office-based role Ability to sit, stand, and work on a computer for extended periods Occasional lifting of up to 10 lbs.
